BOOKING RULES AND INFORMATION

  1. HOW TO BOOK A ROOM
  • Fill out the booking form attached to these instructions or located at the Gunyang web site and forward to the Booking Officer either by email, fax or post
  • Payment for all bookings by Shareholders for the priority winter season booking period will be requested after 14thFebruary for payment in full by the 28thFebruary.
  • Payments for all other period bookings must be made immediately on confirmation of the availability of accommodation.
  • A formal receipt confirming accommodation will be issued after payment. The Lodge Captain may ask to see this receipt to confirm room occupancy when arriving in Thredbo.

  1. GENERAL BOOKING INFORMATION
  • The shareholder must be in attendance for the entire period booked for shareholder rates to apply. Any portion of the booked period that the shareholder is not present, non-shareholder rates will apply to ALL rooms.
  • Sign in sheet MUST be signed as recognition of the occupier of the room/s. Car Registration on the sign in sheet helps to identify if there is any vehicle using Gunyang parking without permission.
  • Room allocations printed on the sign in sheet are NOT to be changed unless approval is given by the Booking officer.
  1. TRANSFER OF BOOKING RIGHTS
  • Shareholders may transfer their booking rights (including rights to shareholder accommodation rates) to another person.
  • If a shareholder transfers the booking rights, they relinquish their booking rights (to the other person) until the transfer of booking rights expires.
  • Transfer of booking rights will apply for an entire booking period, as nominated by the shareholder.
  • Booking rights shall revert to the owner of the share parcel, or original nominated person in the case of a company, superannuation fund or partnership, at the end of the nominated year.
  • Transfer of booking rights must be made in writing to the booking officer prior to the following date, transfers after this date will not be accepted:
  • 31st of January
  1. WINTER SEASON BOOKINGS
  • Traditionally Queen’s Birthday Weekend June to Labour Day (NSW) Weekend October.
  • Shareholders have a preferential booking period (see below), after that there is no preference for bookings between Shareholders and Non Shareholders.
  • For winter season bookings, shareholders can book a maximum of 2 rooms at the shareholder rate for EACH & EVERY stay. Additional rooms for each stay may be booked at the non-shareholder rate.
  • For example: if you wish to make additional bookings after the preferential period, for each stay you may book up to 2 rooms at shareholder rates & additional rooms at non-shareholder rates, all subject to availability.
  1. SHAREHOLDERS WINTER PREFERENTIAL BOOKING PERIOD

When: Commences 5:00pm 1stFebruary

Ceases 5:00pm 14thFebruary.

What can you book during the preferential period:

A MAXIMUM of 14 days total of accommodation. This can be booked in one or 2 blocks. For example:

  • 2 rooms for 1 week
  • 1 room for 2 separate weeks
  • 1 room for midweek (5 days), 2 rooms for a sperate weekend

Note: bookings are only taken for full week, midweek (Sunday to Friday) & weekend (Friday to Sunday) during the winter period

When is Payment due:Payment is due after notification of the successful booking which will occur after the 14th of February.

Notification of Booking:If your booking is not successful you will be notified as soon as possible during the preferential period so that you can resubmit your booking.

Allocation preference:Bookings are allocated on a “first in, first served” basis. The booking officer reserves the right to vary this in order to maximise occupancy levels.

  1. BOOKINGS AFTER THE PREFERENTIAL BOOKING PERIOD
  • After the preferential booking period, additional rooms may be booked subject to availability.
  • Additional bookings will be charged at the published winter rates
  • For EACH & EVERY booking (or stay) made after the preferential period, up to 2 rooms can be booked at shareholder rates & additional rooms booked at non-shareholder rates
  • After this booking period has closed all unbooked rooms are available to non shareholders and there is no further preference for shareholders for room bookings.
  1. NON SHAREHOLDER WINTER BOOKINGS

When:Commences 9:00am 15thFebruary.

Payment is to be provided with the booking

  1. SUMMER BOOKINGS
  • The period after the October long weekend to before the June long weekend.
  • Bookings are accepted one year in advance for summer bookings. There is no booking preference between Shareholders and Non Shareholders.
  • For summer bookings, shareholders are able to book rooms at the following rates:
  • 1st & 2nd room at shareholder rates
  • 3rd, 4th & 5th room at non-shareholder rates
  • Whole lodge at shareholder rates
  • The shareholder must be in attendance for the entire period booked for shareholder rates to apply, any portion of the booked period that the shareholder is not present, non-shareholder rates will apply to all rooms
  1. CANCELLATION

Refunds will be made if cancellation is made 21 days prior to the booked period. Refunds for cancellations within 21 days of booked period will only be paid if the room is re-let.

All cancellations will incur a cancellation fee equivalent to 10% of the accommodation fee.

  1. DEFINITION OF SHAREHOLDER (in relation to booking rights)

The definition “shareholder” in relation to booking rights only, comprises:

(a)the registered owner of a full parcel of shares in Gunyang Ski Lodge Limited,

(b)the nominated representative if a company, superannuation fund or partnership is the owner of those shares

(c)the person nominated to hold those booking rights temporarily by (a) or (b)

  1. WHAT DO YOU NEED TO TAKE WITH YOU?

Towels and Bed Linen (sheets and pillow cases)

Your receipt to show the Lodge Captain

Food (which can also be purchased at the supermarket in the village)

  1. THE LODGE PROVIDES

Pillows, quilts and blankets

Crockery, cooking utensils etc.

TV and DVD in each bedroom

Individual room heating and under floor heating

Queen bed and fold out single bed, fold out ottoman or trundle bed

  1. ARRIVAL AND DEPARTURE TIMES

Room access will be from 3.00 p.m.

All rooms and car spaces to be vacated by 10.00am on the day of departure.

No belongings are to be left in the lodge after 10am on the day of departure, this importantly includes rental pickups.

The bathroom in the laundry area is available for use by Lodge occupants on checkout day after 10am but must be left clean and tidy.

If you are using the bathroom / laundry area after check out you MUST NOT leave your car in the parking area. The parking area is to be left clear for the cleaners.

  1. WHAT ARE YOUR RESPONSIBILITIES

Both bedrooms and the common areas must be kept clean at all times.

A minimum charge of $250.00 will be charged if rooms & common areas are not left in a reasonable order on departure

Kitchen is to be left clean and tidy. Crockery, cutlery, pots and pans to be washed and put away. Stove and microwave oven to be kept clean. All food to be stored in fridge or cupboards which are supplied for each bedroom. Sink, bench tops and dining table to be wiped clean after each use.

All ski boots shoes/boots are to be left in the entrance/drying room area.

Lockers are provided for each room at the entrance. You are requested to leave your lockers empty and clean on departure.

No food is to be stored in bedrooms. On departure please do not leave any food or drinks in the cupboards or refrigerator.

Rubbish can cause bad stench and attract vermin. Please place all rubbish in in bins provided. Use the plastic bin liners & take the rubbish out to the bin enclosure.

  1. UNREASONABLE NOISE OR BEHAVIOUR

Unreasonable noise from adults or children can spoil a holiday so please be considerate of others.

Shareholders will be responsible for the behaviour of their guests and family and will be liable for any damage inflicted on the lodge or any debt to the lodge incurred by their guests or family.

Shareholders are reminded that we must abide by the rules and regulations governing the Thredbo Village and the Kosciusko National Park. Specifically we would draw occupants attention to the rules forbidding bringing pets & animals into the Park.

The directors reserve the right to suspend a shareholder's rights of occupancy in the event of wilful or serious breaches by the shareholder of these rules or of the company's articles of association.

  1. THE BOOKING OFFICER

The Booking Officer is appointed by the directors to:-

(i)allocate accommodation

(ii)manage the day to day management of the lodge

(iii)to appoint Lodge Captains to manage the lodge on a day to day basis

  • Unless there is an emergency please only call the Booking Officer Monday to Friday between the hours of 9am and 5.30pm
  1. LODGE CAPTAIN
  • Each week the booking officer will appoint a lodge captain to assist with the day to day running of the lodge. Any queries relating to accommodation or breakdown of any equipment are to be notified promptly to the lodge captain.
  • Lodge captain must ensure that occupants sign the sign-in sheet.
  1. CAR PARKING
  • Car parking is provided for only one car per room. Additional parking can be found across the road or in the overnight parking areas at the ends of Chimneys Way & McKenzie Pde.
  1. PLEASE NOTE

Under no circumstances can a booking be made other than through the Booking Officer.

Persons without an official accommodation receipt may not be admitted to lodge accommodation.
