Monthly Board Meeting Minutes

November 2, 2015

The meeting was called to order at 9:00 AM

Board Members Present:Craig Sjodin, Randy Brenckman,Kathy Hartmann, Sandy Mucci, Don Couture, Dody Tait, Bev Tyson

Board Members Absent: None

Secretary’s Report: Kathy Hartmann

The 10/5/15Secretary’s minutes were unanimously approved without changes.

Treasurer’s Report: Sandy Mucci

Treasurer’s Report for the month of November, 2015 was unanimously approved. Effective 10/30/15, total available assets were $22,784.78. Reserve Account balance was $37,158.04 and non-allocated funds were $8,555.29. Total HOA income year-to-date is $56,872.54. Suggestion made to consider, at end of the year, placing unallocated funds in the Reserve Account; this will be addressed at end of 2015.

OLD BUSINESS

Reserve Study Committee Report:

Craig estimates completing his portion of the Reserve Study within 1.5 weeks. When finished he will convene the Reserve Study committee members (Don Couture, Randy Brenckman, Susan Marchi) to work on finishing this project.

Ramada Noise Abatement Project: Bev Tyson

The ceiling noise abatement panels were installed last week. New ceiling fans are in place but the down-rods should be shortened. Elton Humphreys volunteered to remove the fans, get the rods shortened, and reinstall the fans; unanimous Board vote for approval that Elton move forward with this. Thank you to multiple community members for their generous monetary donations for the project!!! Already several persons attending this meeting have noticed a change in the noise level in the Ramada.

COMMITTEE REPORTS

Park & Ramada Maintenance – Randy Brenckman

Grass is in good condition; seeding was done by Randy. Sprinklers are in working order thanks to the efforts of Eric Malm. Looking at way(s) to minimize water from sprinklers pooling on the pool deck.

Pool and Spa – Bill Mucci

Pool was drained, cleaned and refilled last week; valves were replaced at the same time. Water temperature is 82; spa temperature is 102. Liquid pool cover is in place. Sign indicating Emergency Shut-Off Valve for the Spa is up.

Landscape Planning and Improvement – Susan Marchi

Recommendation made by Susanthat committee’s future activities be considered at a “project” level, with progressive stages of development built in. She requests a board member be on this committee; Craig will follow up with securing someone from among the Board. .

Compliance – Susan Marchi, Dody Tait

Compliance items previously presented have been/are being addressed. Randy Brenckman assisted a neighbor with yard clean-up. 4821 N. 78th St.: estimates under review by homeowner for exterior painting. Report of beer cans continuing to be dumped in the oleander row on N. 79th St.; person responsible being pursued.

Newsletter – Val Bennett

Val was not present to report but asks that items for the newsletter be sent to her by Wednesday, 11/4.

Bev Tyson will submit Board News including: pool is reopened after draining and cleaning; roof rat(s) seen in the neighborhood; reminder about process for reserving Ramada for private events; book recycle sites in the area.

Web Page & Directory – Sue Carey

Everything is running well.

*Ramada – Gayle Sjodin

Reminder to read bulletin board note outside library about how to reserve the Ramada for a private event; individuals need to go through Gayle to make a reservation – do not sign-up on the calendar without speaking with Gayle first.

Library – Gwen Carlson

There is no need at this time for additional shelving. With few exceptions books published prior to 2000 are not in our library. Reminder not to leave books for recycle; take to recycle site on your own; see upcoming newsletter for site locations. Gwen spoke of a home delivery book service available through the Scottsdale Public Library, Contact the Scottsdale Public Library (480-312-7323) for more information.

Real Estate – Dody Tait

7805 E. Northland – no close of escrow date yet. 7820 E. Highland closed 10/29. 7813 E. Coolidge is pending as of this week. Due to close 12/8/2015. In all of the Villa Monterey’s, 8 homes are on the market ranging in price from $195,000 to $319,500. 5 homes are under contract or are pending.

Street Lighting – Craig Sjodin and Bill Pettit

Two lights are out on the corner of 79th St. and Highland and will be repaired/replaced.

Social Committee –Sandy Mucci and Karen Page

Christmas Party will be Saturday, December 12th in the Ramada at 6:00 p.m. Caterer has been selected; beverages are BYOB. “Save the Date” flyers for this event will be distributed this week; sign-up information to follow.

Cocktail Parties – Sue Carey

Next Cocktail Party (Pot luck and BYOB) is Friday, November 13th at 5:30 p.m. at the Ramada. Hosts will be Don and Elaine Couture.

Coffees– Madeline Krska and Nancy Knoedler

Next coffee is this coming Saturday, November 7th, at 9:30 a.m. in the Ramada. Hosts are Kathy Hartmann and Sandy Mucci.

NEW BUSINESS

*Exterior paint color request for home at 7841 E. Highland: same color as currently on the home will be used.

*Kathy Hartmann announced her resignation from the Board effective December 31st, 2015. Anyone interested in filling

the position can contact a Board member for further information.

HOMEOWNER’S OPEN FORUM

*Judy Preston reported that Betty Engberg’s daughter passed away. Betty is a long time VM 5/5A resident who lives on Northland Drive when she is here in AZ. Information for sending condolences to Betty and her family:

*Noted that paint is peeling on outside of the Ramada near the front door. This will be taken care of by a few of our residents.

*Question asked about existence of any rule that prohibits a garage sale in VM 5/5A; response – garage sale is allowed.

*Request that people walking dogs pick up after their pets and take the used collection bags(s) home for disposal.

*Question asked about the visibility of a specific backyard structure on Mariposa; Craig reported that Scottsdale (building code) will not address this issue because the structure is lower than the highest wall in the community.

*Question presented from Lee Anderson about the process for determining when a noncompliance letter is sent to a home owner and what will be the content of the letter. Craig responded to this question and explained the Compliance Committee functions and the Board’s involvement in determining follow-up action(s). It also was noted there is a history of noncompliance letters being sent to homeowners when deemed necessary/appropriate by the Board.
