Legal, Governance, Business Assurance & Executive are committed to achieving high standards of Health & Safety, in line with the University’s Safety, Health and Environment Policy. The aim is to ensure that Legal Governance, Business Assurance & Executive seeks to continuously improve the working environment, safeguard the health and safety of its staff and visitors and promote and put into effect polices which safeguard the environment.
- ORGANISATION
Management
The Assistant Director of Business Assurance is the Designated Manager (SHE Policy D-1) and is responsible for ensuring the Health, Safety and Welfare of those who may be affected by the working environment and work activities within the department, and the implementation of appropriate measures as necessary.
Legal, Governance, Business Assurance & Executive shares the occupancy of the 4th Floor of Edinburgh Building.
Area Health & Safety Advice
The Assistant Director of Business Assurance endeavours to provide advice and guidance on Health & Safety matters and promote good standards throughout the department with the help of the 2 nominated ASHECs for this floor – Administrative Support Officer (and PA to Assistant Director of Business Assurance) and Administrative Support Officer (and PA to University Solictor).
Health and Safety issues are administered by the 2 ASHECs.
Health & Safety Information
Legal, Governance and Business Assurance hold quarterly full service team meetings for the whole service and on each agenda there is always an item for Health & Safety where we report on any health & safety issues that have arisen i.e. any accidents, updates on any procedures etc. This is also shared with the Executive PAs who they sit in on these meetings for updates on any health & Safety issues and can feed back to the Executive team.
Any issues regarding Health and Safety should be directed to the 2 nominated ASHEC’s for the service.
Reporting of Accidents
Accidents, cases of occupational ill health and dangerous occurrences must be reported to the University Health & Safety Manager. Please contact your 2 nominated ASHECs for the standard form IRI (2002).
Induction
All new Legal, Governance, Business Assurance & Executive staff will receive a Health & Safety Induction from the appropriate line manager and given a copy of the local Health & Safety policy.
Training
The University’s Staff Development Programme offers a number of Health & Safety courses which all staff are encouraged to attend where relevant to their working environment.
Work Experience
All work experience participants will receive a Health & Safety Induction on commencement of the placement from the appropriate line manager and be given a copy of the Legal Governance, Business Assurance & Executive, Health, Safety and Environment Policy.
3.ARRANGEMENTS
Detailed advice is available in the University’s Safety, Health & Environment manual (SHE), a copy of which is held by the Assistant Director of Business Assurance. The University has also produced a Corporate Safety, Health & Environment policy which has been distributed to all members of staff.
For the most likely risks relevant to Legal, Governance, Business Assurance & Executive a summary of the current arrangements are as follows:-
FireFire alarms are tested on a weekly basis by the designated AHSA for SCAT & Gateway, located within EdinburghBuilding (Ground Floor). Fire drills are carried out twice yearly by the Designated Manager for EdinburghBuilding. The fire alarm is tested on a weekly basis every Tuesday at 10.00am.
Legal, Governance, Business Assurance & Executive have 5 members of staff trained as Fire Wardens to cover the 4th floor Edinburgh Building and all meeting rooms. The List of Fire Wardens for the 4th Floor Edinburgh Building is placed throughout the 4th floor by all 4 red break glass alarm points. All staff should be aware of fire evacuation procedures and how to raise the alarm.
First AidAFirst Aid kit is held on the 4th Floor Edinburgh Building. There are 2 First Aiders located on the 2nd Floor of Edinburgh. A list of all First Aiders is located in the kitchen on the 2nd floor of Edinburgh.
ElectricityElectrical equipment (computers, printers, fans etc) are visually inspected and recorded by the Facilities Team, and are subject to Portable Appliance Testing on a yearly basis by qualified staff within the Facilities department.
Access/EgressWalking areas etc are to be kept clear of obstruction at all times. Fire doors are not to be wedged open and fire exits should not be obstructed at any time. All staff are expected to comply with this requirement and report any problems/dangers to the appropriate line manager immediately.
Display Screen EquipmentAll PC workstations need to be regularly reviewed to ensure they comply with the legislative requirements. All regular users are encouraged to complete online vision screening tests which are coordinated by the Health & Safety Department on the 3rd Floor Edinburgh Building.
Personal Safety Lone Working
Staff are reminded of the need to take common
sense precautions when working late at night or alone and to refer to the local department guidelines. It is recommended that no Legal, Governance, Business Assurance & Executive Staff work alone.
Manual HandlingAlthough not a regular requirement of Legal, Governance, Business Assurance & Executive, all staff are advised to complete training on manual handling and are advised anything heavy – moving of equipment should be done by trained caretakers/portering staff.
WorkplaceThe working environment must be kept clean, tidy and secured at all times. Any defects must be reported to the appropriate line manager immediately.
