1. Approve minutes of last meeting
The minutes were approved by Natacha, seconded by Helene.
Action: Lily to update to final on the website.
2. Reports
a. Chairperson (Natacha)
i. Big thanks to everyone. On track for next year
ii. Job manual is still a work in progress. Pierre has gone through and will continue in the new year
iii. One important consideration is the need to make sure that passwords can be accessed the relevant people
b. Treasurer (Anne-Marie)
i. Paypal $642.99
ii. BankAustralia: $2,112
iii. Bendigo: $773.28
iv. Petty cash: $352.20
v. Workshop – Anne Marie wants to know profit and loss from each workshop – profits can be used to cover the future provisions of mixed boxes and ‘rewards’ to active members ….
vi. Action – Need contact details of everyone who is involved – Lily is setting up a FB file on the active group’s page.
vii. Only Helene and Natacha can approve anything that involves the bank
c. Secretary (Lily)
i. Applied for exemption on duty for insurance but were informed we were not eligible because of having members
ii. Action: Fair trading – need to lodge forms – need to add number of members. Anne-Marie to cross check against memberships paid
iii. Action – Add to the bottom of the automated email – Like us on Facebook – Lily to check with Paul
3. Trading Plan
- Sandra suggested not to do first week of January. Based on her past experience, the week before Christmas day should be open to members whilst the week after Christmas should also be closed. The general consensus agreed to this
- A review of which volunteers would be present during the next four weeks was made and it was agreed that the lunchtime divvy would not take place on 22nd Dec and 12th Jan. Instead, the fresh goods will be divided during the evening divvy. Evening co-ordinator will need to go to the divvy earlier
- Add more Xmas type extras as well for these dates
- Action: Natacha will do ordering 2nd week of January (evening divvy)
- Action – Lily to send email to members to say that evening divvy – happening
4 & 5 To be discussed next month
As it was almost time for the Christmas Party to start, it was agreed that Agenda points 4 and 5 would be discussed during the January meeting.
Despite this, there was still some general discussion which included the fact that the keypad did not work on the day of the bread-making workshop, Natacha has already asked council for a back-up key but has been advised that this is not possible. Also, Rhubarb will receive $400 from the council for setting up the workshop.
Sandra suggested that feedback should be done at the end of the workshop whilst the attendees are still physically present. The use of a hard copy, with tick boxes was recommended,
Action: Sandra to create a template for the feedback questionnaire
We will also need to review the communication flows from Rhubarb as there might be issues with bulk email and members not receiving these emails.
6. Date for next monthly meeting
It was agreed that the date of the next monthly meeting will be held on 6.30pm, Thursday 19 January at Barrett House.
