2716- administration of permits

2716.6 - Records

Each Special Use Permit shall be filed by individual case folder. Current material in case folders will be arranged systematically in a Kraft Folder (7530-00-990-8884). The following is suggested:

Side 1: Applications, reports, maps, permit and amendments.

Side 2: Bills for Collection.

Side 3: Documentation of fee development. Gross fixed assets records and financial statements in concession permits. Audit reports.

Side 4: Related correspondence.

Side 5: Inspection reports.

Side 6: Drawings, maps, insurance certifications, related miscellaneous documents.

Long-term continuing Special Uses Permits with large volumes of related material shall be organized in a second folder using similar systematic arrangement. Follow procedures as described in FSH 6209.11, Paragraph 17.1.

In transfer of improvements, pertinent material from old file will be brought forward to new folder, especially material on which the new permit is based or information relative to tenure.
