PTA General Membership Meeting Minutes

Attendees – Renee Pool, Denise Richards, Ann Smith, Kelly Clark, Christa Hutlzer, Angie Jackson, Cindy Crook, Cheryl Harris, Laura Street, Stephanie Stuart

Meeting commenced at 10:50 a.m.

New Business

2011-2012 Cookie Dough Fundraising

·  Jeff Hoffman from Great American Fundraising explained his products

·  Explained that his company offers:

o  more variety

o  better prizes

o  packed by students

o  can pick delivery date

o  can get tubs or pre-portioned cookie dough

o  18 different types of cookies

·  Cookie dough in 3 lb tubs, most companies have gone to smaller tubs

·  Jeff and his business partner own inflatables and do school events often — www.goodtimesinflatables.com

o  Will get 6 inflatables for mega party, no min sales number required to get the 6

·  Money back guarantee

·  Will replace anything missing or damaged — can call Jeff with missing item, he will take care of replacements

·  Jeff will manage prizes/incentives

o  Will be bagged up and delivered to students

o  Will offer ducks and frogs……were extremely popular with kids

§  Will do frogs for 11-12 cookie dough sale — can offer multiple frogs or just one frog, we decide

o  Inflatables, ice cream party, and pig race are very popular incentives — will need a few volunteers to help manage crowds

·  Can also offer kitchen products to people who don't want cookie dough

·  People can order products online — can't order cookie dough — instead offer over 1,000 products online

o  School and child will get credit for online products

o  People can order products at any time, school will get commission check at any time that online products are purchased

·  Offering a signing bonus if sign up by May — $600 worth of PE products (tennis balls, jump ropes, plastic cones, etc)

·  We discussed his company doing inflatables for this year's spring fling

o  Jeff looked at calendar and our date is a possibility — he will confirm with Renee

o  We will take whatever inflatables he can offer

§  Will give us 6 inflatables for $700

§  Will give us 4-5 for $500 depending on availablility

o  Will set up/take down, but need vol's to manage the crowds

§  Slide — 1 vol

§  Obstacle — 2

§  Bounce — 2

§  Baseball — 1

§  Pedistal joust — 1

§  Rock wall — 3-4 (2 men preferable to pull lay to hook onto climbing kids)

·  Suggest pricing higher b/c a bigger attraction, will keep lines down a bit

§  Other schools have asked UNC-A sororities/franternaties, ROTC or other groups that need volunteer hours

·  Jeff suggested that in 11-12 school year, hold mega party and spring fling on same day in the spring

o  Would do mega party during the day

o  Keep inflatables set up all day

o  Then hold spring fling in the afternoon

o  If schedule this way, will get free inflatables for both mega party and spring fling

o  Since kids will get lots of other prizes and incentives, all agreed that ok to wait to have mega party until end of year—just need to set expectation with kids and parents

·  Jeff recommends that organize cookie dough to be picked up in alphabetical order in case someone picking up doesn't remember teacher name also makes organizing order forms easier

·  Tentatively scheduling kick off on Fri, Aug. 26

o  1:00 — k-2

o  1:30 — 3-5

·  Promotions/awareness

o  Kick off presentation

o  Posters

o  Info packets to parents — Jeff will create flyer to send home in packets

Encouraging Participation in PTA Board Next Year

·  Reviewed list of possible PTA parents next year, added to list, filled in missing contact info

o  Ann to send email to get missing contact info

·  Date for Fatz PTA recruiting lunch — Tuesday, May 3, 11:00

·  Ms. Stuart suggested:

o  Break down list by teacher

o  Ask teachers with possible PTA parents to call parents to encourage to get involved, invite to lunch

o  Then PTA members follow up, invite to lunch

o  Then send evite to officaially invite people to lunch to learn more about PTA

§  Target date to send out evite — 4/18 or 4/19 — Ann will do evite

·  Hoping that with multiple points of outreach, will get good attendance at lunch

·  Will discuss agenda for lunch at next meeting

Sam's Grant

·  We got $500 grant from Sam's

·  Waiting for check from Sam's

·  Can spend anywhere

·  Will use for Spring Fling expenses

Talent Show General Meeting

·  Thur, April 7

·  Renee will hold general meeting before start of talent show to open floor to nominations for PTA Board next year

Spring Fling

·  Friday, May 20, 4:00-7:00

·  Decided on games

o  Dunking booth — suggested Amy Holquin to manage again, Denise to ask her

o  Cake walk — suggested Lauren Weinegar to manage again

o  Horse riding vendor again — Renee has been trying to contact and thinks out of biz, but will keep looking

o  Football toss

o  Fishing

o  Cupcake decorating station

o  Minute to win it — only do if Landolf kids can manage

o  Face painting — need YMCA to manage

o  Hair spray

·  Food

o  Donnie Pool — BBQ

§  But needs another vol to help

§  If offer quart containers, can probably sell it in bulk

o  Papas and Beer — need to see if they will donate again, Christa will manage this

o  Drinks

o  Chips

·  Vols — Renee and Cindy will come up with vol list

o  Will get game vol's thru teachers again like last year

o  Teachers can sign up for vol stations, will be first come first served

o  PTA to come up with list of vol needs, give to Ms. Stuart who will manage teachers signing up

o  Since less games, teachers can do set up and clean up

o  Inflatable vols as listed above

·  Texas Roadhouse (Katie) is offering to pass out free kids meal tickets and raffle tix for gift basket with with $30 gift card

o  Their armadillo mascot will walk around to pass out free kids meal coupons, collect money for gift card raffle

·  T-shirt design contest — start promoting to students on/around April 20

o  Denise has flyer from last year and will make edits

o  Designs are due to office on Wed, May 11

·  Set up

o  Denise will do diagram again

o  Need to have a staging area with all activities grouped together, so it's easier for vol's to help set up

·  Have $12,000 in account

·  $1,200 is Angie's for supplies, teacher appreciation

·  Have $5,000 for mulch if necessary

·  Still need to pay for box top ice cream parties
