District STEM Showcase Student Information Packet

Important Dates to Remember

  • Registration and Project Set-up

Wednesday, April 19th4:00 PM – 7:00 PM

You (or a parent or friend) need to set up your display board, journal, and or invention at the fairgrounds on Wednesday evening. If you are entering a technology project, you just need to bring your lap-top or tablet with you to judging on Saturday.

You will not need tickets to enter through the Gold Gate, closest to Cattin’s restaurant. The Pavilion is immediately on the left. Take the stairs to the 2nd floor and proceed to your grade level registration area. When you register you will receive passes to get into the fair for judging on Saturday. After registration you will need to leave the fairgrounds as they are closed to the public this evening.

  • Judging

Saturday, April 22nd 11:00 AM – 1:00 PM

You must be at your project at 10:45 AM Saturday to present to the judges. Judging will begin at 11:00 AM. If you are not present at the judging time, your project will not be judged or eligible for an award. Please bring a bag with quiet activities to do such as a book, coloring, homework, or an electronic device with headphones to keep you occupied during any wait time. You may bring snacks that can be easily eaten.

  • Awards Ceremony

Saturday, April 22nd 4:30 PM – 5:30 PM

Once judging is over, you have a few hours to enjoy the fair before the awards ceremony. If you decide to leave the fairgrounds during this time, remember to get your hand stamped so you will be allowed to re-enter the fairgrounds. All participants are expected to attend the awards ceremony at 4:30 PM. Arriving early is recommended for a close seat. You must take your projects with you when you leave the awards ceremony.

Student Participation Rules:

  1. It is not recommended to bring additional display items to the STEM Showcase. However, if you feel additional items will help present your project more clearly during the judging process this is acceptable.
  2. The following items may not be on or next to the display board:
  3. Liquids
  4. Mold/bacterial growth
  5. Food
  6. Animals
  7. Dangerous or sharp objects
  8. Glass or breakable items
  9. If students have any of the above items in their project they should document the process with labeled illustrations or photographs.
  10. Set up and take down of the project is the student’s responsibility.

*The STEM Showcase Committee reserves the right to remove any materials that are deemed unsafe, excessive, inappropriate, or unacceptable, according to the above rules.

Preparing for Judging:

  1. Eat a healthy breakfast.
  2. Dress nicely.
  3. Arrive at your project by 10:45 AM Saturday morning.
  4. Parents and family members need to leave the judging area. Monitors will be circulating to answer questions and take care of you during this time.
  5. Stand up when speaking to the judge.
  6. Make regular eye contact with the judge.
  7. Be prepared to answer the judge’s questions. You do not need to actually demonstrate your project or its workings but you must have a clear understanding of your project to explain to the judge.
  8. Practice answering questions about your project ahead of time.
  9. While you are waiting for your turn with a judge, remember to demonstrate appropriate behavior, such as sitting quietly, talking quietly with other students, being respectful of others projects and property, etc.)
  10. Bring a quiet activity that can occupy you while waiting.
  11. You may bring bottled water and a snack that can be easily eaten.
  12. Not everyone will receive the top awards at the STEM Showcase. It is an honor to have been selected to represent your school.
