BOOST! PROJECT CO-ORDINATOR JOB DETAILS

Job Title: Boost! Project Co-ordinator

Supervised by: Chief Executive

Accountable to: Board of Trustees

Responsible for: Possible project volunteersand admin staff

Job purpose: To co-ordinate the Boost! project which involves matching skilled professional volunteers with voluntary and community sector organisations in need of support

1)JOB DESCRIPTION

Key responsibilities:

  1. Project management / overview

To continue to develop and manage the Boost! projectwhich matches skilled professional volunteers with organisations in need of support

  • Maintain and develop regular communications with project partners
  • To help develop and be responsible for the management of the project budget
  • To promote and market the service, together with project partners
  • To take primary responsibility for ensuring that all project targets are met and to ensure that adequate monitoring and evaluation systems are in place
  • To regularly report to project partners and the Volunteer Bristol Board of Trustees on progress towards targets
  • Occasional management of volunteers and staff associated with the project
  1. Day-to-day management of Boost! project
  • Promotion and marketing of Boost! Project to both potential volunteers and host organisations. This may include:writing copy for website, articles, news releases and social media; liaison with the media; managing the production of leaflets, etc.
  • To produce and deliver occasional presentations to relevant groups
  • To help organise and participate in promotional events as necessary
  • Screening, registering and assessing potential volunteers and host organisations
  • Matching organisations with suitable volunteers including organising and attending introductory meetings
  • Ongoing monitoring and evaluation of ‘matches’
  • Encourage and support organisations to observe best practice in volunteer management
  • Providing support to both parties in the event of difficulties
  • Keeping appropriate electronic and hard-copy records of communications
  • Regular liaison with our project partners within the Support Hub at Voscur
  • Ensuring that high standards of customer service are maintained by staff and volunteers
  • Be responsible for management of volunteers and paid staff should this become necessary
  • To ensure that the project adheres to Volunteer Bristol’s policies and procedures, including equal opportunities, quality standards and health and safety legislation.
  1. Other responsibilities
  • To contribute to the ongoing development of Volunteer Bristol
  • To contribute to grant applications and other fundraising or income generation initiatives
  • To contribute to Volunteer Bristol’s strategic planning, and marketing strategy
  • To help promote the work of Volunteer Bristol
  • To adhere to and help to develop Volunteer Bristol’s policies and procedures
  • Liaise with local voluntary, community and statutory organisations as necessary
  • Liaise and network with Volunteer Centres, Volunteering England and other local, regional and national bodies as necessary
  • To undertake professional development/training to meet developing requirements and to maintain necessary skills and knowledge to carry out the duties as specified
  • Any other duties appropriate to the grade of the post

2)PERSON SPECIFICATION

Essential:

  • A track record of successfully managing projects, including monitoring and evaluation
  • A strong understanding of volunteer management and best practice
  • Experience of managing volunteers and understanding their motivations and needs
  • Experience of working within (or closely with) small voluntary and community sector groups, and an understanding of the challenges they are currently facing
  • Proven negotiation skills
  • The ability to work independently without close supervision
  • Excellent communication skills, both written and verbal, with the ability to communicate effectively with a wide range of different people
  • A strong networker, with experience of developing inter-organisational relationships and partnerships
  • Excellent organisational and record-keeping skills
  • Budget monitoring experience and experience of reporting to funders
  • Proven ability to work flexibly as part of a small team
  • Excellent IT skills, including use of Microsoft Office packages

Desirable:

  • Experience of advising other organisations on volunteer management best practice
  • Experience of assessing people’s skills and experience as part of the recruitment process
  • Good presentation skills and experience of speaking to groups
  • Marketing experience or qualification
