Below are USA Tour Director/Guide and School Chaperone/Teacher responsibilities for your review and signature.

USA TOUR DIRECTOR/GUIDE RESPONSIBILITIES

When determining the role of chaperones/teachers, it is best to define what role the USA TOUR DIRECTOR/GUIDE is responsible for:

The responsibility of the USA Tour Director/Guide is that of managing and overseeing your TOUR PROGRAM. The individual is with you from the time your group lands on the East Coast until departure. Their duties include:

Hotel check in/out;

Day-to-day updates with the Motorcoach Driver;

Adjustments in Tour schedules and itinerary;

Re-confirming all aspects of your program;

Interaction with Security Guards;

Meeting with chaperones/teachers on any necessary adjustments in schedules;

Historical information and narration about destinations;

Logistics for all of your tour;

Responsible for paperwork, meal tickets, theater tickets and all day-to-day financial aspects of your planned tour program;

To provide lighthearted tour interaction with your students

CHAPERONE/TEACHER RESPONSIBILITIES

Set up phone tree prior to departure. This is extremely important with regard to changes in flight schedules, etc.

Assign student groups to chaperone/teacher for your tour. In turn, these chaperone/teachers are responsible for their small groups. Chaperone/teachers are to stay with the groups at ALL times and are responsible for the following:

Maintain order and discipline at all times and in all places. This includes airport, aboard the aircraft, at the hotel and while on the bus and touring.

Make sure students are dressed and PROMPT for all departures per the schedule. At hotel, do bed checks each evening and make sure students are up and ready for breakfast.

Airport Check-in: Keep group together at all times and make sure everyone has proper ID.

HotelCheck-out: Chaperone/teacher is responsible for inspecting hotel rooms of the students for any left items or room damages. If damages are present or excessive cleaning is required, students are not allowed on the bus until their room has been cleared by our tour director (hotel charges may apply).

Provide assistance during meal times.

See that any medications are distributed to the students. Attend to sick students. Stay back at hotel or hospital if a student is ill or injured until the student is released or a parent comes to relieve the chaperone/teacher of that responsibility. Accompany student home if necessary. Provide monies for cab or subway fare to transport student relating to illness or disciplinary action. USA Student Travel will reimburse this expense. (Please make sure to keep all receipts.) Report any medical problems to the USA Tour Director. Upon returning to hotel chaperone must update the USA Tour Director as to whether they can expect you and your student on scheduled activities. In the event a student misses any activities or meals, there will be no credits or refunds.

The control of students rests with chaperones in all situations. Order is to be maintained at all times.

3 STRIKE RULE

Upon First offense, student is talked to by the chaperone. Chaperone will make every effort to solve the problem at this point.

If there is a second offense, or the first offense is more than just a minor matter, the teacher/chaperone and the student phone parent/guardian collect and the student explains the incident. The parent/guardian is reminded of the behavior guidelines. In the event of a third offense or serious violations (including, but not limited to drugs, drinking of alcohol, leaving hotel without permission, theft), the student is put on the next available flight home at the parents’ expense with parents notified of the details.

Chaperone/teachers need to report any damage that has occurred to the motorcoach to USA Tour Director/Guide and the bus driver. Students will be financially responsible and parents will need to be called in the event of such an occurrence. Damages will be paid for by individual/group.

USA Student Travel wants to insure that the chaperone/teacher has a very positive travel experience with their group and that their reinforcement of any rules and guidelines passed on by the Tour Director/Guide be followed. We want everyone to have a great and memorable tour.

Chaperone/teacher needs to encourage respect of Tour Director/Guide, bus driver, hotel properties and National Parks.

Please note: All USA Trips are non-smoking. No smoking is allowed in hotel rooms, on the bus or in any of the venues.
