Dear Parents of (Teachers Name) (Grade)Grade Class,
We are excited to let you know that we are going to be serving as of (Teachers Name) Head Room Parents this year! This simply means we will be organizing the class parties. There will be three parties this year: Halloween, held on (day of week and date) Valentine’s, held on (day of week and date)and the Year-End Picnic held on (day of week and date). In order for these parties to be a success we are asking for your help in two ways.
First, we are asking you to send in donations for the parties, (snacks, beverages, paper products, games and craft projects). Please see the attached form for sign-up details. The teachers have asked that we keep the snacks for the parties mostly healthy (fruits, vegetables, pretzels, popcorn, crackers, 100% juice). Many of you have indicated you would be willing to help assist with the parties. Thank you! Please mark on the attached form which parties you can help with and how you would like to contribute. We will take a look at all of the volunteer forms and assign the tasks for each party so that all who want to participate get the chance to do so. Please note that simply signing the volunteer form does NOT mean you are contributing that item. We will try to assign the tasks fairly and send a letter home with the details and assignments in your child’s backpack. We will also personally call all volunteers/donors a week before the party to confirm the tasks/donations!
Secondly, the PTA asks for $7 from each student be collected and saved for the teacher’s Year-End gift and pizza for the Year-End Picnic. Please send $7 cash or a check payable to (Head Room parent’s name) (not the PTA) in the enclosed envelope marked to my attention, along with the attached volunteer form, by (day and date) in your child’s backpack. (Teachers Name) will pass the envelopes on to us. We will save the money for the teacher’s gift and pizza.
Two quick notes: 1) There will be no Christmas Holiday party as the teachers feel that this week is simply too busy. 2) If you decide you would like to send in additional/ individual treat or goody bags for the parties, please have them packaged in a Ziploc baggie so they can be easily tucked into the students backpack for the trip home. (Snack time is so limited on party days and the teachers would actually prefer goody bags with pencils, erasers, stickers, etc. if you must send something in.)
The Halloween and Valentine parties will start at 2:15 pm and the Year-End Picnic will be held during the normal lunch/recess hour on the last day of school.
