The Penllergare Trust, a pioneering independent charitable company established in 2000, is progressing an ambitious landscape restoration scheme at Penllergare Valley Woods, with support from the Heritage Lottery Fund Parks for People programme.

Penllergare Valley Woods (100 ha / 259 acres) is a major recreational, heritage and wildlife site; the largest area of green space in north Swansea with over 100,000 people living within a 10 minute drive.

The Penllergare Trust has an ambitious vision to see the cultural landscape of Penllergare conserved for public benefit largely supported by local people. With a lease of 100+ years from a private owner the Trust has started to restore the nationally important romantic, picturesque designed landscape created by the Dillwyn Llewelyn family in the nineteenth century. The woods provide a superb location for people to relax, enjoy a range of leisure activities and a place to get outdoors and close up to nature.

The Trust is now looking for a highly motivated, versatile and resourceful Finance Assistant with excellent financial and office skills to assist in the delivery of our executive plan and to assist in managing our financial systems and processes.

Practical knowledge and skills in bookkeeping, finance management and office administration are essential.

Location of the Job

The job is based at Penllergare Valley Woods. A small temporary office is available on site but some home working may be agreed on occasion. The post is required to work flexibly. There are plans to develop a permanent site office.

Contract

This is a part time job i.e. 20 hours per week. There will be a 3 month probationary period.

All staff will receive the statutory annual leave entitlement, currently 28 days per annum pro rata.

No overtime payments are available.

Job purpose

The role will to support primarily the Treasurer in the financial activities of the Penllergare Trust.

Secondly, the post will support the central services activities of the site office including administration, reception work and events support.

Duties and responsibilities

  • The finance aspect of the role will cover approximately 10 hours per week and will involve assisting the Treasurer with the following tasks:
  • Record Financial Transactions and Maintain Financial Ledger
  • Set up payments, print out details and enter in financial ledger
  • Assist with maintenance of detailed transaction and income records
  • Monitor bank accounts for transactions and enter in ledger
  • Update financial ledger and ensure that it balances
  • Reconcile bank accounts to ledger
  • Apportion electricity bills between Coffee Shop and Woodland Centre
  • Ensure all source documents/invoices/receipts are filed appropriately
  • Assist with Coffee Shop Financial Matters
  • Enter weekly coffee shop and car park takings in ledger and in monitoring spreadsheet
  • Prepare Coffee Shop/car park performance summaries and graphs
  • Assist with coffee shop daily and weekly cash counting as required
  • Take cash to bank if required
  • Reconcile card machine totals to bank account entries
  • Financial accounts preparation and capital asset recording
  • Maintain detailed capital asset register and files
  • Assist with preparation of Trust annual accounts
