Minutes:

The meeting started @ 8:03pm with prayers said by Mrs. Chy Chukwu. There was a roll call (5 members in attendance). The minutes of the last minute was read by the Secretary General; and was adopted by Mrs. Chy Chukwu; seconded by Mrs. Chy Agbayi.

The president welcomed everyone to the meeting and thanked them for making themselves available to attend.

Update on the Constitution: The Secretary General told the members that due to lots of on going activities within this and other associations that we belong to; we would be proceeding with drafting the constitution after the picnic.

Update on Udi-Ezeagu Convention: The Secretary General & the Presidentprovided a summary of the activities of the Udi Ezeagu Convention held in Houston, Tx from June 12 -14. The Supreme Ladies of Udi Ezeagu Association members in attendance were: Ms. Ijeoma Ozoude, Dr. Uzi Chukwu, Dr (Mrs) Chii Akporji; and Mrs. Oby Clara Ebulu. It was a well attended event with an engaging Saturday session which included the Constitution review; and a few presentations; with a gala nite fund raising party. Drs. Chii Akporji and Uzi Chukwu made some presentations at the event.

The President was contacted by Udi Ezeagu national President to inquire if the Supreme Ladies was interested in hosting the 2010 Convention. Giving that we are just a newly formed association and with our launching still pending, the response was No.

The Secretary informed members of the July 13 deadline to bid to host the 2010 convention; to which the Dallas Chapter has indicated an interest to host.

The Udi Ezeagu National Association would like for us to make some efforts to involve/get the Udi Ezeagu men together to form an association.

The President reminded all members who have not contributed to the 9th Mile project to do so. There was honorable mention of an additional donation of $200 made towards the 9th Mile project by Dr. Uzi Chukwu.

Letter Head/Logo: The President and members acknowledged and thanked the Secretary General for the “draft” letter head/logo; and also provided some feedback. The President urged members to research the logo and color that they would like to be used on the association’s letter head so that by next meeting we can either accept the draft template or decide on what colors or logo to use.

Picnic Planning: The President is already reaching out and getting the word out about our picnic, and appealed to members to do same. She thanked everyone for their contributions towards the picnic and also encouraged everyone to pay their levy of $112 as was agreed to by all at the last meeting. The picnic is scheduled for August 22, 2009.

Picnic Flyer: The Secretary General was tasked with creating the flyer for the picnic, the draft of which will be emailed to members for comments by Friday July 17 after which it will be ready for print/circulation.

Donation – The Financial Secretary, Mrs. Martha Chikelu volunteered to bring meat pie and abacha.

Park Permit: The Secretary informed members that she had received the permit for the ValleyMillPark. She also read through some of the requirements associated with the use of the park for the event. Discussions on how to pick up sports equipment for the day of the event will be discussed at the next meeting.

Uniform:Mrs. Chy Agbayi suggested we wear same color T-shirt to distinguish us from our guests. We agreed on Orange Color T-shirts. The President took the action item to purchase and bring the T-shirts (2 dozens) by the next meeting. T-Shirts will be paid for from the picnic funds/donations we made.

Update to Members: Mrs. Ebele Ezeonyim suggested that we call our members and update them of all our activities to date; and also find out from them their interest in the association. This was deliberated upon after which members agreed that the Secretary General draft a letter that will be sent out to all members. The letter will include information about our expectations of us as members of the association; also about the $112 levy for the picnic which all members MUST pay (one time payment or ininstallment); conditions for withdrawal at this point, which is that members who withdraw their membership without paying the $112 will have to make good on that in other to be allowed back into the association, amongst other things. This letter will be signed by the President & the Sec. General.

Tasks:Kids Activities Co-ordinator; Grill Chicken, Grill Hamburger/Hot dogs, Grill Corn, Ribs, Plantain (plantain was added to the menu); Servers.

Items: - Mrs. Oby Clara Ebulu to bring her grill

-Ms. Ijeoma Ozoude to bring rice sacks for the kids’ sack races

-Purchase of jump ropes and gifts from dollar store

-Boom boxes – batteries to be purchased to power boom boxes

Dues:

Outstanding Payments: $250 – 2009 Udi Ezeagu Registration

: $100 – EnuguUSA Brochure Subscription (owed to the President)

Opening of Temporary Account: The Treasurer, Mrs. Vero Mgbodille was tasked with opening a temporary Supreme Ladies of Udi Ezeagu Association account in her name. The account will be reverted back to Supreme Ladies once we meet all the requirements and open our account.

The Sec. General handed over all the associations’ monies with her to the Fin. Secretary. Ijeoma Ozoude wrote Mrs. Chikelu a check of $108 for that purpose. The total amount collected as reported by the Fin. Sec was $582.00. $100 was given to the President for the EnuguUSA brochure subscription.

Good for the Soul/Advice: We all shared jokes and advice and had some great time laughing!

Matters Arising:

The President thanked our hostess and also everyone for attending the meeting; which was very productive. She also informed us of the loss of Mr. Ojielo Amalu, from Ezeagu. She was contacted; and she as well as the Sec. Gen circulated the information for the wake keeping which was well attended.

Next General Meeting is scheduled for Sunday August 9, 2009 and will be hosted by Mrs. Mgbodille.

Mrs. Chy Agbayi moved for adjournment, seconded by Mrs. Martha Chikelu. The closing prayer was said by Mrs. Ebele Ezeonyim; and meeting was adjourned at 9:48pm.
