Bright Space Application Part C Setting up Project Teams

As you begin planning your Bright Space project, we suggest that youfirst review the steps you will need to take and decide who will take on the various tasks of your project. If you have a large team, you will want to have a Project Leaderand one “Team Leader” for each task. Everyone else working on that task would report to the Team Leader. If you have a small team, you may want to assign a role for each person on your team or work as a group on some tasks. If you need any advice as you set this up, please let us know.

  1. Project Leader:

Responsible for: managing the overall project, working with Foundation Staff to determine the project budget and timeline, making decisions, assigning tasks, making sure that each task is completed fully, etc. This person will be the primary contact between the Foundation Staff and the team, unless indicated below, and will be copied on all correspondence about this project.

Project Leader is ultimately responsible for the following, but may wish to assign someone to help:

  • Tracking all income and expensesusing the Budget Worksheet
  • Attending Financial Call in order to understand and follow Foundation’s financial processes
  • Coordinating with Bright Space Coordinatoron all matters concerning money
  1. Agency Selection Leader:

Responsible for: identifying potential nonprofit agencies in your community and for choosing your agency partner. Will lead the process of submitting formal Application for Approval to the Foundation(ask Foundation for helpful resources).

  1. Fundraising Leader:

Responsible for:

  • Coordination of fundraising efforts to meet team’s fundraising goal
  • Workingwith Foundation Staff to use existing fundraising resources wherever possible (ask Foundation for helpful resources)
  • Attending Financial Call in order to understand and follow Foundation’s financial processes
  • Sending contributions to the Foundation with appropriate Income Cover Sheetspecifying your Bright Space Job Code.
  • Thanking contributors and keeping other parties informed (i.e. memorial families)
  • If large project, will coordinate all fundraising efforts from various teams, making sure all team members use appropriate forms andJob Codeand understand procedures.

  1. Brightening Lives Coordinator:

Responsible for organizing Brightening Lives Activities

  1. Design/Ordering Leader:

Responsible for:

  • Design of Bright Space (ask Foundation for helpful resourcesincluding
  • determining appropriate Bright Space Model(s)
  • playroom areas/learning centers
  • room preparation items (safety, painting, etc.)
  • Working with Project Leader to make sure all expenditures stay within approved budget
  • Ordering all equipment, toys, and materials – whether BH vendors or local
  • Coordinate with agency partner for storage of equipment until the Set-Up day.
  • Attending Financial Call in order to understand and follow Foundation’s financial processes (for all income and all expenses)
  • Organizing and overseeing volunteers for Set-Up Weekend or room preparation
  • Coordinating with Agency Partner, contractors, and/or volunteers for any room preparation that needs to be done (painting, etc)
  1. Ribbon Cutting/Media:

Responsible for:

  • Planning the Ribbon Cutting ceremony), including speakers, invitations, food, programs, ribbon, and plaque from Foundation
  • Planning media coverage (if any desired), including coordinating with Agency, Client/Sponsor (if any), and the Foundation to arrange any media coverage, if desired (ask Foundation for helpful resources).
  1. Bright Space Connector/Ongoing Support:

Responsible for: making sure Bright Horizons and the Foundation maintains an ongoingrelationship with the Bright Space. This relationship will ensure that the talents and interests of your volunteers can be shared with the agency after the Ribbon Cutting. The Foundation will provide you with ideas about ways others have found to connect. Being creative and listening carefully to the agency’s needs early in your relationship will give you crucial information about how to deepen the impact of the Bright Space.
