Examination and Data Manager

Salary:Level E+ 26-28

Responsible to: Assistant Headteacher

Hours:37 hours per week, 39 weeks per year (TTO + 10 Days inc 5 PD days)

Normal hours:To be agreed

Main Purpose

  • The Examination and Data Manager is expected to provide a comprehensive examination and data service for the campus with overall responsibility for all aspects of planning and organising examinations and data management.

Specific duties – Examination Officer

Purpose: to ensure accurate, efficient and timely administration and management of external and internal exams.

  • Advise the senior leadership team, subject and class tutors and other relevant support staff on annual exam timetables and application procedures as set by the various exam boards and the DFE. (SATs, KS4 etc.)
  • Prepare an annual examination budget
  • Check examination fees and invoices from exam boards
  • Oversee the production and distribution to staff, governors and candidates of an annual calendar for all exams in which candidates will be involved and communicates regularly with staff concerning imminent deadlines and events.
  • Ensure that candidates and their parents are informed of and understand those aspects of the exam timetable that will affect them.
  • Consult with teaching staff to ensure that necessary coursework is completed on time and in accordance with JCQ guidelines.
  • Provide and confirm detailed data on estimated entries.
  • Receive, check and store securely all exam papers, completed scripts and controlled assessment guidance /resources
  • Administer access arrangements and make applications for special consideration using the JCQ Access Arrangements and Special Consideration regulations and Guidance relating to candidates who are eligible for adjustments in examinations.
  • Line manages the exam invigilators, organising the recruitment, training and monitoring of a team of exam invigilators responsible for the conduct in exams.
  • Ensure any malpractice issues are dealt with in accordance with the JCQ regulations
  • Submit candidates’ coursework marks, tracks despatch and stores returned coursework and any other material required by the appropriate awarding bodies correctly, securely and on schedule.
  • Arrange the dissemination of exam results and certificates to candidates and forwards, in consultation with the SLT, any appeals/re-mark requests.
  • Processing enquiries about results and requests for return of scripts.
  • Maintain systems and processes to support the timely entry of candidates for their exams, including the checking of exam entries with candidates and subjects
  • Making arrangements for internal examinations, including the production of the timetable, rooming and invigilation.
  • Support the secure administration of BTEC qualifications.

Specific duties – Data Manager

Purpose: to ensure accurate and timely production of progress data

  • Manage data information systems in the campus at both primary and secondary level
  • Analyse and evaluate data/ information and produce reports/ information/ data as required for Governors, SLT and staff
  • Undertake administration of complex procedures
  • Provide administrative and organisational support to Senior Leader with responsibility for data
  • Provide administration support to SLT via data reports for the governing body
  • Work with outside agencies, completing and submitting complex forms and returns
  • Operate complex ICT packages (PARS/iTrack/SIMS/4Matrix/Internal tracking systems)
  • Undertake research and obtain information to inform decisions. Keep up to date with current and proposed changes to educational accountability measures
  • Be responsible for timely and accurate preparation of resources and materials for data packs and SIMS/PARS/iTrack/4matrix and other data software packages as appropriate
  • Take a leading role in the planning, development and organisation of behaviour management and tracking systems
  • Take a leading role in developing procedures for data tracking
  • Manage the design and production of reports for parents.

Specific duties – Cover Administration

Purpose: to ensure that all lessons are covered by appropriate staff during periods when the normal staff cannot be present.

  • Manage the administration of cover arrangements for teacher absence using COVER 7
  • Hold the school mobile phone, receiving all absence calls/messages
  • Liaise with all supply teachers, maintains support pack, AUP/
  • Communicate with external supply agencies to arrange staff
  • Ensure the school diary is up-to-date with absences and events
  • Record and report all absences
  • Manage Focus room rota (HS only).

Specific duties – Timetable Support

Purpose: to support the member of SLT responsible for the timetable to ensure there is an accurate timetable for staff and students at all times of the year.

  • Setup new academic year/promotion mapping/pastoral structure
  • Set up the options process using SIMs & NOVA T6 and minor changes for whole school timetable
  • Collation of year 9 option choices
  • Generate timetables for new starters
  • Maintain class lists/room changes/rotations
  • Academic promotion in NOVA T6. Liaising with subject and class tutors re class lists. Promoting and populating class lists for next academic year

General support for the school

  • Be aware of and comply with policies and procedures relating to child protection, health, safety and security and confidentiality, reporting all concerns to an appropriate person
  • Contribute to overall ethos/work/aims of the school
  • Establish constructive relationships and communicate with other agencies/professionals, in liaison with teachers, to support achievement and progress of pupils
  • Recognise own strengths and areas of expertise and use these to advice and support others
  • Participate in training and other learning activities and performance development as required
  • Be responsible for the provision of out of school learning activities e.g. club, extra-curricular activities within guidelines established by the school
  • Show a duty of care and take appropriate action to comply with health and safety requirements at all time
  • To attend relevant meetings and training
  • Demonstrate and promote commitment to equal opportunities and to the elimination of behaviour and practices that could be discriminatory
  • To provide First Aid cover for staff and learners
