Job specification

1.Background Information

The mission of the Principals Australia Institute is to ensure that all current and aspiring principals in Australia receive the support they require to achieve the best outcomes for their school communities, through professional learning, systems and resources that reflect the best evidence available.

The Principals Australia Institute (PAI) is a not-for-profit organisation, owned by the four peak associations, representing primary and secondary principals leading and managing Government, Catholic and Independent schools across the country.

PAI has its main corporate and program management functions based in Adelaide.

The aim of PAI is to ensure that all current and aspiring principals have access to quality professional learning, leadership development and the support required to achieve the best possible outcomes for their students.

PAI receives no financial support from its four member associations, and is funded for managing a number of national projects, including:

  • MindMatters (MM)
  • KidsMatter Primary (KMP)
  • Dare to Lead (DTL)
  • Leading Information and Communication Technology (ICT) Learning

The Principals Australia Institute self-funds the remainder of its work, including that built around the L5 Leadership Frame.

KidsMatter Primary is a mental health and wellbeing initiative for primary schools. It was developed in collaboration with Principals Australia (now the Principals Australia Institute), beyondblue: the national depression initiative, and the Australian Psychological Society, and with funding from the Australian Government Department of Health and Ageing and beyondblue.

MindMatters is an Australian government funded Mental Health Promotion Professional Development and Resource initiative for schools with secondary enrolments.

2.Reporting / Working relationships

The successful applicant will:

  • Report to the Coordinator, NT KidsMatter Primary
  • Work closely with the MindMatters Coordinator in the NT
  • Work cooperatively and productively with other members of the KMP team.
  • Foster productive relationships with KMP, MindMatters and other PAI project staff

4.Key Responsibilities / Duties

  • Manage the research and booking of venues and catering for meetings, briefings and training programs.
  • Organise materials for meetings, briefing and presentations, as required.
  • Regularly update a key contacts database for regional engagements, including school updates and establish and maintain electronic files.
  • Type records of meetings and follow up with agreements and plans as directed by the Coordinator.
  • Monitor resource and stationery supplies.
  • Arrange travel, accommodation and car bookings.
  • Manage online enquiries and school event registrations.
  • Work closely with the national team and contribute to KMP and MM planning so that it has the best possible chance of being efficiently and effectively implemented.
  • Work closely with the KMP, MindMatters and PAI national team to ensure that the administrative operations of KidsMatter Primary and MindMatters is efficient, effective and comply with PAI policies and procedures.
  • Update project databases as required.

PErson specification

1.Experience

  • Demonstrated track record in working effectively with key stakeholder groups.
  • At least 2-3Years experience in a similar role
  • Strong administration skills
  • Some experience/exposure to finance support
  • Current MS office experience and competence
  • Some experience in working with on-line registration systems
  • Familiarity with FileMaker Pro and cVent is desirable

2.Knowledge

  • Knowledge of administration and office procedures
