Position Title: Special Events Coordinator

Metropolis Performing Arts Centre: Metropolis is a 329-seat, acoustically perfect venue located in the heart of downtown Arlington Heights. A 501 (c)(3) non-profit theater, each year Metropolis produces/presents over 40 different artists/shows in over 350 performances. The organization is also home to a School of the Performing Arts. The theater draws over 68,000 patrons each season.

Qualifications:At least 2 years’ experience working in related field; experience in recruiting and managing volunteer steering committees; prospecting and securing sponsors; ability to meet deadlines; pre-planning and time management skills; creative and detail minded; proficient in Microsoft Office/excel; ability to multi-task; ability to work nights and weekends when required; must have a car and valid driver’s license and active auto insurance. Must be physically able to move medium weight boxes for events.

Description of Duties/Responsibilities:

  • Assist Director ofDevelopment to develop, implement and execute a budget for each fundraising event.
  • Recruit and coordinate volunteer steering committees for each event.
  • Prospect and secure up to five or more Season Special Events Sponsor per year
  • Prospect and secure event level sponsors for each individual fundraiser. In coordination with Director of Development, generate sponsorship proposals for each event and generate post-event recap for each sponsor.
  • Negotiate contracts with venues and suppliers for each event.
  • Develop a detailed plan for each event including target invitees, timetable, pricing and an outline of staff /volunteer responsibilities.
  • Work closely with the Marketing Director/staff in developing a marketing plan for each event.
  • Required to attend and supervise all activities on the day of the event.
  • Coordinate all staff, volunteers and paid contractors on the day of the event.
  • Conduct follow-up assessments and generate a final report for each event.
  • Become trained and proficient with the SRO database system and reporting.
  • Assist Director of Development on execution of donor events including Marquee Member show receptions, pre-and-post-concert receptions and donor/sponsor appreciation receptions/events.
  • Any other duties as assigned.

Note: This position requires evening and weekend work. It also requires the physical ability to help the team move such items as tables, chairs, boxes of supplies for events and other related materials.

Compensation

Part-time hourly wage…25 hours/week
