Temporary Logistics Assistant

UNICEF Supply Division in Copenhagen, Denmark, is currently looking for a temporaryLogistics Assistant,position no. 57479, GS-5, until December 2008.

TERMS OF REFERENCE

Reporting to the Shipping Officer the assistant will undertake the following main duties:

  • In liaison with freight forwarders, UNICEF Warehouse and Contracting Business Units, assist the Shipping Officer with planning and organising the dispatch and consolidation of shipments, taking into account Supply Division priorities, warehouse capacity and special requests from UNICEF Field Offices.
  • Plan warehouse (from Copenhagen as well as from established Emergency Hubs) orders for packing/shipment to ensure batch deliveries (jointly with the Planning function in the Logistics Centre and with Business Units).
  • Plan and co-ordinate Emergency shipments.
  • Provide up-to-date information on shipping status of goods dispatched.
  • Collect, check and enter shipping details into the organisation database (SAP) then forward the necessary information to Business Units/Field Offices and file all shipping-related documents (packing lists, invoices, B/L, AWB, etc.)
  • Provide freight estimates for planning/Business Unit quotation purposes and obtain/approve freight quotations from freight forwarders.
  • Verify the freight forwarders’ invoices for accuracy and consistency with freight quotations received enter said details into SAP database, whilst ensuring compliance with shipping instructions.
  • Co-ordinate and discuss solutions with forwarders and Business Units on issues pertaining to shipping mode, consolidation, missing shipping documents and freight invoices etc.
  • In conjunction with Business Units/Procurement Services, check the freight budget committed against freight cost estimates.
  • Consolidate all documents required for claims processing.
  • Maintain/update Customer Master/Ship-to-party databases in SAP.

Minimum qualifications and experience:

  • Secondary Education with courses in shipping and logistics.
  • Minimum 5 years of practical work experience within the shipping and logistics field.

Competencies:

  • Excellent communication skills.
  • Knowledge of computer systems and MS Office applications. Experience in working with SAP would be an advantage.
  • Team player and able to work in an international, multi-cultural, environment.

Able to work independently

Languages:

  • Excellent knowledge of written and spoken English.
  • Another UN language (Arabic, Chinese, English, French, Russian, or Spanish) would be an asset.

(Please note that this scale is based on a 40-hour work week whereas UNICEF works a 37-hour week with a pro-rated salary. Please also note that there may be other benefits subject to status).

Supply Division is responsible for overseeing UNICEF’s global procurement and logistics operation, and for making sure that procurement follows all organizational regulations and ethical standards. UNICEF’s level of procurement reached a total value of approximately 1.3 billion USD in 2007.
