JOB TITLE: Payroll Account Specialist

GENERAL JOB DESCRIPTION

ThePayroll Account Specialist (PAS)is responsible for managing the day-to-day tasks involved in payroll processing for an assigned group of clients, including the preparation of quarterly and annual payroll tax returns. The PAS reports directly to the Operations Manager.

ESSENTIAL FUNCTIONS AND RESPONSIBILITES

  • Maintains base of assigned payroll clients with regard to their payroll maintenance and processing, including specific Human Resource and employee needs.
  • Contacts clients daily, according to schedule, for payroll information and follow-up.
  • Responsible for accurate and timely payroll processing for clients.
  • Works closely with third-party administrators to offer support for additional products and services.
  • Maintains knowledge of the payroll system and changes in wage and tax laws.
  • Provides genuine quality customer service including responding timely to all client requests.
  • Provides client software training when requested.
  • Ability to work independently, multi-task, and prioritize effectively to achieve goals and meet deadlines.
  • Other duties as assigned.

SECONDARY FUNCTIONS AND RESPONSIBILITIES

  • Research and resolve tax notices received from clients.
  • Process correct garnishment calculations and forward payments according to agency/institution requirements.
  • Respond timely to inquiries from clients and their CPA’s
  • Printing and packaging payroll checks and reports, as well as Quarter-End and Year-End packages, including W-2’s.

ADDITIONAL SKILLS DEVELOPED THROUGH ONGOING TRAINING INCLUDE BUT ARE NOT LIMITED TO:

  • Knowledge and experience with converting, importing, and exporting various file types.
  • Knowledge of the new client onboarding process and experience with the procedures.
  • Knowledge of and experience with quarter-end and year-end processing and associated returns.
  • Knowledge of and experience with advanced payroll concepts such as amended returns, federal and state tax deposits, and transmitting ACH files.
