TPP & OD Manual along with Green Book, Rules & Decision Book

Hole in One Form and Bag Tag

Completed Arrangement and Pre-Entry Forms

Scorecards, Cart signs, Notice to Competitors

Blank Scorecard and Paper stock

Pace of Play, Last Announcement

Table signs

Clubs Represented, Thank you and Awards Form

Alpha (8), Starters (8), Flight Lists (3)

Personal Checkbook to reimburse OD Assistant for Gas Mileage

Enough Cash to cover 2 or 3 No Shows – Just in case.

DAY OF OPEN DAY

 Check in with Pro/Food & Beverage/Club Volunteers

 Give Cart signs, NTC, Tee signs (if necessary) to Pro Shop and check for cancellations

 Pick up pencils, tees, ball markers if Pro allows

 Lay out Scorecards

 Post Alpha List, Tee Assignments, Flight Report & Laminated Card (Be sure the tape you use does not cause harm to the walls.)

 Check that the food served for breakfast agrees with the Arrangement Form

 Give Final Announcement 15 minutes prior to shotgun

 Check that there is a basket for awards balls and volunteer if needed

 Distribute table tents for awards meal

 Buy balls from Pro Shop

 Get receipt from Bookkeeper/OD Chair/Clerk for monies taken in

 Marshal and take pictures

 Grab lunch with your OD Assistant. You cover their lunch and submit expense report.

 Check that the food served for lunch agrees with the Arrangement Form

 Hang “Quiet Scoring in Progress” Sign

 Compute Scores and figure out ball distribution

 Complete Thank you list

 Announce Awards

IMMEDIATELY FOLLOWING OPEN DAY

 Use TPP to post scores and then check a couple on GHIN.NET

 Send Thank You Notes. (Some DIC’s write them during the Open Day down time.)

 Send 1031 and 1032 Statistic reports to the OD Director and OD Asst Director.

 You should retain the following for a few weeks or months after the Open Day

-Scorecards

-Entry Forms

-Signed Money Collection sheet

 When no longer needed, you should destroy (shred) any paperwork with member names, GHIN numbers, addresses or phone numbers. The WGANC office can help with the shredding.
