Minutes of PPG meeting 13th February 2013

1. Minutes of previous meeting

Jayex Board – following consultation with practice staff, the Jayex board was felt to be preferable to other systems and would remain the preferred choice.

Well Man Clinic – Nursing team are undertaking the appropriate training course and the clinic should be up and running from April 1st this year.

2. Work Plan

Review of PPG Constitution and Terms of Reference

There was a presentation outlining the need for a revision of the working of the PPG.

We had now attended several meetings in connection with the new Peoples’ Commissioning Group and felt that we, as a Patient Group, needed to have a stronger and more workable structure if we were to assist the practice in its aim to provide excellence in patient service. A firmer structure would also give us the opportunity of being pro-active in local PPG representative groups.

Overall, the structure proposed would mean a better communication system with the practice staff and service users. It was suggested that:-

  • A patient representative should be appointed as chair who would liaise closely with the Practice Management Team.
  • a committee should comprise 12 members
  • a working group, taken from the PPG, would look into specific issues
  • The virtual group to continue as at present.
  • The co-opting of members to committee to enable wider expertise and help with specific issues.

There was a presentation of a draft form of Terms of Reference, deliberately kept short as a working document, and a diagram showing the proposed new structure.

It was suggested that members present look through the proposals and give any feedback to Cyndi within 2 weeks of the meeting.

Open Morning

• A short update was given and it was suggested that the medical team could take this opportunity to outline their specialty areas.

• Arrangements were in hand to invite a number of voluntary organisations to attend with the idea

of offering a comprehensive range of information and advice.

The working group had made progress with the proposed event and the final details were in

progress.

Dr Davis would take back ideas of how the medical staff might highlight their work within the practice in general.

Other ideas to show patients the how the Practice worked “behind the scenes” were discussed.

Survey

Problems had been highlighted with the on-line survey. The I T staff has now looked into this and it appears that difficulties with editing rights were identified. In general, it was felt that the uptake of the paper survey was gong very well. PPG members had offered to distribute questionnaires in the waiting room and to be present to assist patients .

Stakeholder 111 event

Two PPG members attended this event the aim of which was to flag up the latest developments of the new system.

Practice News

The practice has declared itself fully compliant with the CQC registration process.

Medical and nursing teams were now working closely with care homes as part of the planning of acute care at home.

There had been an incident at reception where a member of staff had been assaulted.

New patients registering with the practice will not do so with any specific doctor. They will be registering with “Oak Tree Surgery”. However, choice of doctor will remain with the patient. In essence, nothing will change and this was purely for administrative needs.

AOB

Difficulty of redialling after a call from the surgery was discussed. Because the number is kept confidential, the telephone reads “Number out of Area”. This could easily be taken as a cold call from anywhere. Practice Manager could see the possibility of a patient not knowing if the surgery had tried to make contact in their absence, but said that, for reasons of confidentiality, this was unlikely to be altered.

Two members of the PPG had now completed the initial Peoples’ Commissioning Board Training and also the PPG is well represented at the Umbrella Group of PPGs in the area.
