Employee Dashboard

The EmpCenter web interface presents windows for recording your time and attendance data, such as hours worked and the projects and tasks on which you worked. You can also perform other tasks such as viewing reports and printing your timesheet.

Logging into the Dashboard

  1. Log into the Self Service center at banweb8.hartford.edu using your userID and password.
  1. Once you have logged on, you will see a list of tabs available to you. Select the EMPLOYEE tab. At the bottom of the list, you will find the link for EmpCenter Test Environment to use during the testing phase, use the EmpCenter for Student and Part-time Employees on the date you were told was your START date.
  1. Clicking on the EmpCenter Test Environment link will bring you to the EmpCenter Webclock in/out screen.

Using WebClock

Employees who are configured to enter time through the WebClock will get to the WebClock automatically on sign-in to the EmpCenter system.

Within the University, you may perform more than one job and work in more than one department or area. Because of this, you may also have more than one manager or supervisor who is responsible for tracking and approving your time and attendance information for a particular set of tasks and responsibilities. Perhaps your rate of pay, etc. is different for each job. Consequently, you may have multiple assignments.

Single Assignment

  1. The WebClock interface includes the following buttons (see above photo):
  • Timesheet: Takes the user to the timesheet view.
  • In: Records the start of work time. A successfully recorded swipe is reported by:
  • Out: Records the end of work time. A successfully recorded swipe is reported by:
  • Logout: Logs the employee out and returns to the login screen for the SelfServiceCenter.

Please notice that the system will only say that a Swipe was recorded; not that the swipe was for logging in or out.

If you do not interact with the WebClock 120 seconds after it starts, it will log you off. The following message appears 20 seconds before the system logs you off automatically.

Multiple Assignments

Each assignment has its own time sheet, so if you have more than one assignment, you are also responsible for filling out more than one time sheet. When you log into EmpCenter, you can choose which time sheet you wish to open.

  1. If the employee has more than one assignment, the Choose an Assignment window appears first, before the WebClock in/out screen.

  1. Select the appropriate assignment. The WebClock interface (described above and see again below)will appear for the respective assignment. The buttons and their functions are described above.

Employee View of the Time Sheet

After you login to the EmpCenter system and (if necessary) select the appropriate assignment, click on the Timesheet link to open your time sheet for the current pay period. Yourtimesheet will display in one of three views available (described below). You can opt to show both weeks in a time pay period, by checking the “Show All Weeks” checkbox, or remove the check to show only one week.

Function Buttons

You will notice several buttons at the top of your time sheet. These buttons execute certain program functions.

What follows is a chart of each button and they do:

Button / Button Name / Function
/ Pay period / Selects the pay period to view.
Click the calendar icon to access a pop-up calendar from which to select a work period. Or if you need advance or go back only one pay period, you can use the blue arrows to move forward one pay period at a time.
/ Submit / Sends your completed time sheet to your manager for approval. This is the equivalent of your signature on a paper timesheet
/ Save / Saves your time sheet data. This should be done every time you enter new data or make any kind of change. Students employees cannot make changes to their own timesheet, contact your supervisor to fix any errors.
/ More / The More button shows three options, Print, Print Preferences, and Reload data. Not recommended to use this print feature as the timesheet will be on multiple pages – use the Reports section on the dashboard.
/ Views / Allows you to select either a List View, Table, or Day View of your time sheet. The view you select alters the presentation of the data on the Hours Entry tab.

EmpCenter supports three views for displaying time sheet information: Table View, List View, and Day View. Each view displays time sheet information for the selected work period. All users have access to the different views.

  • Select the respective view through the View button.

Submitting Time Sheets

Click the Submit icon at the end of every pay period to send your time and attendance information to your manager for payroll processing. This is the equivalent of ‘signing a paper timesheet’ and must only be done on the last day of work for the pay period.

To submit your time sheet for approval, click the Submit button after ensuring all time is correct and saving the time sheet. The message “Time sheet submitted” appears when the submission is successful.

Recalling a Time Sheet

You can recall a submitted time sheet if it has not yet been approved by your manager.

To recall a submitted time sheet, select the pay period using the Pay Period icon. If the time sheet has not yet been approved, the Recall button is present.

Click the Recall button.

A dialog window appears, prompting you to confirm your decision.

Click OK to display the time sheet. Update the information recorded in the time sheet, then save and resubmit the time sheet.

Exceptions Tab

An exception is a conflict noted between your time and attendance information and the rules which your time sheet is processed. Exceptions generate messages which appear in the Exceptions tab on the Time Entry screen. Some messages are informational and require no action; others require a satisfactory resolution before the time sheet can be successfully submitted. Error level exceptions must be corrected or the timesheet cannot be saved.

The Exceptions tab presents exceptions with:

  • Date of the exception
  • A message describing the problem
  • The severity of the exception (Informational, Error, or Warning)
  • Any action that may be required

Exception messages are color-coded to identify the level of severity. Time entries associated with warning and error exceptions appear with a shaded background. In each layout, the Exceptions column indicates the presence (Yes) or absence (No) of exceptions on the employee’s time sheet and will be color-coded to indicate the highest severity of any exceptions that are present:

Exception types:

  • Red indicates errors
  • Yellow indicates warnings
  • White: Informational message only

Results Tab

The Results Tab shows the calculated results of the data input on the main time sheet, including overtime, shift premiums, etc. By default the data is grouped by pay code.

Schedule Tab

The Schedule tab displays any regular set hours should your manager choose to enter a template of a scheduled shift. The Schedule tab view is directly linked to your timesheet view. Change the view to table, list, or day and the view of your schedule tab changes as well. For Students and Part-time Staff the use of the Schedule tab was not initiated due to the variety of schedules for each employee.

Bank Balances

The Bank Balances tab shows the employee’s Commitment Amount bank. The bank is visible by all users.

  • The Commitment Amount bank starts with the full “Commitment” amount and counts down. The “commitment” is how much money in the budget has been allotted for your position.
  • The “Initial Balance” is the balance at the beginning of the current time period.
  • Credits, if any additional money has been added to the position
  • Debits, the amount of money being taken away based on the hours worked for the pay period.
  • Ending Balance is how much money is still available for the position

Employee General Reports

EmpCenter includes reports for both employees and managers. Employees can access general reports to view time sheet information for a certain time frame, roles that have been delegated to them, or any comments on time sheets. To get to the Reports section, you must be on the Dashboard. You can get to the dashboard at any time by clicking the HOME button at the top of the window. If you want a hardcopy timesheet, follow these instructions:

  1. To generate a report: from the Dashboard, click View General Reports.

Select the option called Employee Time Sheet with Signature.

Change the date to be the last day of the pay period. By clicking on the mini calendar icon you can get the calendar to select the date.

Change to PDF and click SUBMIT.
