Objective

  • To ensure that a financial management system and reporting system is put in place and operable so the Club Junior Football committee has an accurate, true and correct understanding of the financial status of the Club at all times.
  • To provide support to the Committee members to ensure the efficient operation of the Club.

Responsibilities

  • Prepare forecast budget of the Junior Football operations involving the Modified Football Program for presentation at the DecemberSenior Committee meeting (for inclusion in the Clubs Annual Budget Forecast).
  • To liaise and work with the Clubs Treasurer but role is confined to only have an oversight responsibility of Junior Membership Subscriptions and including the Modified Football Program, and to authorise expenditure from the MLDFC Junior Account only in consultation with the Clubs Treasurer.
  • Ensure that all sponsorship and marketing invoices generated for and sent to sponsors have the Clubs ABN number clearly identified (for taxation purposes)
  • Ensure all members of the junior committee do not authorise financial expenditure without first having approval from the Junior Committee or Junior Committee Treasurer.
  • Promptly attend to general banking activities.
  • Maintain appropriate accounts of all income and expenditure and associated audit trails, e.g. receipts, Order Numbers.
  • Report monthly to the Junior Football Club Committee on budget performance.
  • Present all accounts for payment for approval.
  • Prioritise payment of accounts.
  • Make details of all accounts available to the Club Treasurer and Senior Committee and members as provided in the ASSOCIATIONS INCORPORATION ACT 1985 (SA).
  • Provide correct and proper information to the Club Treasurer to ensure the Club finances are correctly audited.
  • Report activities of the portfolio to the Club Treasurer for inclusion in The Treasurers report at the Annual General Meeting.
  • Assist other Junior Football Committee members in their duties as required.
  • Undertake tasks at the request of the Junior Coordinator, or Junior Football Committee.

Relationships

  • Reports to the Club Treasurer and Junior Football Committee.
  • Liaises with the Junior Coordinator and ClubTreasurer.
  • Liaises with official Club suppliers & other key stakeholders.

Accountability

  • The Junior Football Treasurer is accountable to the Club’s Treasurer and the Junior Football Committee.
  • The Junior Football Treasurer shall seek ratification from the Treasurer of a Junior Football budget, including debt reduction and there after shall have the authority to act within the limits of the budget and strategy approve.
  • The Junior Committee Treasurer shall provide a monthly report to the Treasurer of all financial transactions at that level as authorised
Junior Football Treasurer's duties

Typically, duties for the Junior Football treasurer may involve:

  • Working with the Clubs Treasurer, Issuing receipts and promptly depositing all monies received
  • Working with the Clubs Treasurer, Making all payments and keeping accurate, up to date records of income and expenditure
  • Working with the Clubs Treasurer, Ensuring that adequate accounts and records exist regarding the Junior Football (Modified) financial transactions
  • Preparing regular bank account reconciliations on the Junior Football Account
  • Being responsible for the Junior Football Committees petty cash
  • Invoicing members for items/services provided, e.g. equipment, uniforms
  • Being fully informed about the financial position of the Junior Football Account at all times
  • Preparing budgets for the forthcoming year describing potential sources of income and expenditure
  • Presenting regular breakdowns of income and expenditure to the Junior Football committee
  • Preparing and presenting financial statements toJunior Football committee meetings and for the annual report
  • Working with the Clubs Treasurer, Preparing annual financial accounts for auditing, and providing the auditor with information as required
  • Working with the Clubs Treasurer, Ensuring invoices are valid tax invoices and that suppliers issue valid invoices
You’ve been elected Junior Football treasurer – now what?

Use this checklistof all the things you need to do as soon as you get the job:

  • Check details of the bank account and signatories
  • Working with the Clubs Treasurer, Swap signatories straight away. Get the forms from the bank and take them to the annual meeting
  • Check who has the Junior Football financial files and get all documents and budget information, including special events budgets and details of purchases
  • Working with the Clubs Treasurer, Make sure you have a master copy of your financial procedures manual
  • Working with the Clubs Treasurer, Organise for a detailed briefing from the outgoing treasurer detailing any spending commitments or incomings not included in budget papers
  • Working with the Clubs Treasurer, Prepare a timeline of upcoming payments and dates when bills (insurance/rent) are due
  • Working with the Clubs Treasurer, Once you have completed your first budget statement, see if you can check with the outgoing treasurer that nothing is missing
