Job Description for Administrator

The main purpose of the job is to maintain financial and administrative systems in support of Managers and to provide general clerical support.

Line Managed ByService Manager

Key Responsibilities

  • Maintain records of all financial transactions in line with finance procedures.
  • Check finance information reports against the records kept in the Service and resolve any queries with the Woodley House Finance Team.
  • Maintain the client records system and vacancy reporting.
  • Maintain imprest account records, including the petty cash book, and prepare imprest claim forms and cheques for signing by the Manager.
  • Assist with the payment, recording and banking of Residents’ monies as requested.
  • Assist the Manager in the ordering of supplies.
  • Assist the Manager in checking timesheets against rotas and recording sickness / absences.
  • Provide general administrative support to the Manager.
  • Ensure that day-to-day tasks and routines are carried out to contribute to the smooth running of the service as a whole.
  • Actively promote the service and Fremantle by clear, respectful and helpful communication with all potential customers including people who use services, relatives, health and social care professionals, other officials and contractors, visitors as well as Fremantle colleagues.
  • Contribute to the success of the whole staff team by respecting colleagues and participating in team meetings and communications systems.
  • Any other duties consistent with the business of Fremantle, thejob, and hours of work as may reasonably be required.

Physical Make-up /
  • Good attendance record(not including disability related absence)
  • Physically fit and ambulant in order to carry out the everyday duties of the job
  • Clear verbal communication skills

Attainments, Experience and Qualifications /
  • Good literacy, numeracy and IT skills
  • Experience in both written and verbal communication with people at all levels, both within an organisation and externally.
  • Book-keeping/accounts experience, including petty cash and bank reconciliation’s
  • Experience of purchasing and financial procedures, general record keeping and office procedures

  • Relevant qualification
  • Experience in care sector
  • Knowledge of cash handling and banking procedures
  • Budget monitoring and/or purchase ledger experience
  • Experience in client charges, payment methods and filing
