Guidelines for Completion of Standing Rules

1.Complete the name of the chapter. The name should be representative of the geographic area. The area served should be representative of the membership.

2.Describe the geographic area served by the Chapter (counties, parishes, etc.) Be sure to include the state(s) that your geographic area encompasses.

3.Candidates for office must be National members in good standing and active chapter members.

4.Elected officers (ad) Identify the President, Presidentelect and/or Vice President as appropriate, Treasurer and Secretary. Identify the number of years for each term of office (e.g. annually, every two years, etc. and if elected in odd or even years where appropriate. Smaller chapters may consider having a combined position such as secretary/treasurer. (e) Directorat-Large position is optional and generally instituted in large chapters. (f-h) Identify the Membership, Nominating and Program chairs. Identify the number of years for each term of office and if elected in odd or even years. If position is not elected please mark as non-elected position.

5.Identify the month in which elections will take place and when the officers will assume their positions. It is recommended that the new President be in office by March so that he/she can attend the Mentorship Weekend.

6.Vacancy in the President, President-elect and Vice-President offices.

7.Identify the number of active members and Board of Directors members necessary to obtain a quorum. Membership/Leadership Team recommends a quorum should not exceed 25% of the total membership or 50% of the Board of Directors. Numbers are requested rather than percentages. You may want the quorum to be an odd number to alleviate tie votes, but this is not mandatory.

8.Elected officers plus all elected Committee Chairs who are able to vote will constitute the Board of Directors. (b) Identify the number of members of the Board needed for a quorum. Many chapters choose 2 or 3 Board members as a quorum, depending on the size of the Board of Directors.

9.List Standing Committees in addition to the three required ones.

Standing Rules

The ______Chapter is bound by the Bylaw of the National ONS. These Standing Rules are part of the minimum requirements for maintaining Chapter Charter. Revisions are limited to items completed by the Chapter (e.g. geographic area, quorums, etc.). No Standing Rules may be deleted.

Elections

Elections will be conducted by mail ballot in the month of and officers will assume their positions in the month of .

In the event of a vacancy in the office of President, the President-elect or Vice President will assume office. If a chapter has both offices, President-elect becomes President. The President-elect shall serve for the unexpired term of the President in addition to the term to which elected. Vacancies in other elected offices will be filled by Board decision, except the office of President-elect, which will remain vacant until the next scheduled balloting.

Membership meetings will be held at least quarterly. members and members of the Board of Directors constitute a quorum.

The Board of Directors will consist of elected officers, immediate past president (for one year as a non-voting member) and . (Chapter may include Committee Chairs if they are elected) Board meetings will be held at least quarterly. members of the Board (one must be President, Vice President, or President-elect) constitutes a quorum.
