Meeting Minutes

August 7, 2011

Meeting Called to Order: 6:35 by Erin LeMoine (President)

Secretary’s Report: Minutes from May and June meetings had been previously distributed. A motion was made to approve both sets of minutes, with a second. Minutes approved as published.

Registrar’s Report:

-Player passes will be printed with pictures on them. We took pictures at the tryouts so it will not be necessary to get pictures from the players. If you are playing in the fall, please get your roster to Ann as soon as possible.

Treasurer’s Report: Treasurer not present.

Trainer’s Report: Concussionmanagement session being presented on Thursday, September 11 at Aurora

Coaching Director’s Report: Coaching director not present

East Central Report: Jim is stepping down after this year. We will be looking forsomeone to fill that role for the coming year.

Website Report:

Old Business:

-Bay Area Recreational Complex – approaching $900,000 in confirmed players. Hoping to be breaking ground in the spring. There are still some issues with the DNR which the committee is working through. Fundraising meetings will increase in the fall.

Green Bay Invitational Report:

-Club distribution from the tournament will be around $10,000

State League: Blair Bandow will now coordinate the state league, which includes coordination of fields and interaction with the state. We only have one team playing this fall (U13 Boys State).

Ref and Fields Coordinator: No report.

Equipment/Uniforms: We need a medical equipment coordinator. Any teams playing in the fall who need uniforms need to get in touch with Sherry O’Neil as soon as possible.

President’s Report: No report.

Team Reports:

Sparks – 7 and 8 year olds (U8 and U9) will be part of this new program. They will start on August 28 and will practice 4 or 5 times in the fall and then will be formed into teams and will play in two tournaments. Registration is live on-line. We will advertise minimally this year and then will advertise strongly next year once coaching staff and logistics are established.

U-11 G Maroon –Have not had parent meeting yet.

New Business:

  • Forms for new teams need to be filled out. All forms should be renewed each year.
  • We will be putting on our website that we will be looking for players in a few age groups. Please refer to the website for age groups that are still accepting players.
  • New board election nominations will be held in September, with elections held in October. We are trying to look at incentives for those people who serve on the board or serve in a major role (please email Erin with any suggestion. Open positions: Assistant Treasurer, Vice President (coordinates managers and scheduling), Secretary, East Central Representative (meetings once a month in Kimberly); medical equipment coordinator, field readiness coordinator (are fields playable on game dates). Please thoughtfully consider your interest and willingness to serve in one of these roles.
  • July Series – Erin stated we either need to do the July series as a club or not do it at all. There are a number of teams that do not want to participate and our teams that do participate end up playing the same teams over and over. When it gets closer to the July series, we will bring it up again when additional managers are present.
  • New pins are available. We will be getting new window decals as well.

Next Meeting: Sunday, September11 at 6:30p.m. at Aurora Bay Care Medical Center,Arbor Room. All teams must be represented.
