Download Links vs. Attachments

Images may be emailed from within NolijWeb in one of two ways:

  • As a download link, or
  • As an attachment.

If the image is sent as a download link, certain limitations may be applied to its accessibility including:

  • Limiting the number of days before the URL expires,
  • Limiting the number of hours after the link has first been openedbefore the link expires, and
  • Limiting the number of times the link may be utilized.

These limitations are established by your NolijWeb Departmental Sub-Admin for your entire department.

If the image is sent as an attachment, it goes as standard email, without any restrictions on its use.

Furthermore, you may choose whether to send the image as:

  • An “original” – meaning that a copy of the original file will be emailed, but without any annotations which may have been applied in Nolij,
  • If you send a download link, upon opening it the recipient will see a “read only” version of the original file. For example, if the original was a “.doc” file, the link will open a “read only” Word document.
  • If you send an attachment, the recipient will get an unrestricted copy of the file which was stored in Nolij. For example, if the original was a “.doc” file, the attachment will be an unrestricted Word document.
  • An “image” – meaning that the object will be converted to a “.tif” file, and any annotations applied to it in Nolij will be available to the recipient. They will be able to see the annotations if they open the file with a tool which shows embedded annotations (such as Irfanview).
  • If you have sent a download link, upon opening it the recipient will see a “.tif” image of the original file.
  • If you have sent an attachment, the recipient will have a “.tif” image of the original file.

Warning: If the object stored in Nolij is large, you should send it onlyas a download link or an “original”attachment! The software which converts objects to .tif images may make a large file even larger causing potential problems for your email handler or Nolij itself.

Emailing Instructions

To email images follow these steps:

  1. Select the image(s) to be emailed:
  2. To select one image, single clickon it in the folder objects list.
  3. To select multiple images, single click on the first one and
  4. <shift<click> on the last one to select several which are adjacent to each other in the folder objects list, or
  5. ctrl<click> on each image to include items which are not adjacent to each other in the folder objects list.
  1. Right click one of the selected images to see the following menu:
  1. Choose the option to Email the item(s) as download links or as attachments.
  1. Nolij displays the following dialog box:

Enter the following data:

  1. Enter the recipient’s email address in the “To:” field.
  2. If someone should be copied, enter the email address of the copy recipient in the “CC:” field.
  3. The subject line may be modified if necessary.

NOTE: If there is a semicolon, (a “;”), in the subject line and you expect:

  • to receive a response to the email you are sending,
  • which you will need to put into Nolij,

remove the semicolon from the subject line.

  1. Choose whether to send an “original” or an “image” by selecting the correct radio button. See the table above for a summary of the differences between “originals” and “images”.
  2. Add to, or replace, the information in the “Message:” field as necessary.
  1. Press “OK”.
  2. Nolij displays a transitory dialog box indicating whether or not the email was successfully sent:

Changing the “From” email address

You may have permission to alter your “From:” email address. Any change you make will be permanent until you go through the procedure to change it again.

Before beginning this procedure, open the email service that your emails will be from.

To accomplish the change:

  1. If you have permission to change your “From” email address, the “Change Email” button will be displayed as shown below:
  1. When you select the “Change Email” button Nolij will present the following dialog box:
  1. Enter the “From” information which should appear in the email. Click “OK”.
  1. Nolij displays the following message:

and sends the following email to the new “From” address:

  1. Click the link in the email.

Nolij opens a new tab in the browser which displays the following message:
