Alleyn’s is a friendly, caring, academically excellent, independent co-educational school for pupils aged 4-18. Alleyn’s was the first major London school to become co-educational over 40 years ago and that philosophy is embedded across all aspects of school life. The Junior School is a member of IAPS, with pupils aged 4-11. The Senior School is an HMC school with pupils aged 11-18.

Main Responsibilities of the Assistant Bursar

To support the Bursar in the management and realisation of School objectives. The bursary is the centre of the School’s support operations, having oversight of estates, premises, the School’s finances, financial support for pupils and students, non-teaching human resources, commercial activity, information services and community relations. As the practical and regulatory framework for these areas of activity continues to expand, so we need to adjust our resources, and this Assistant Bursar role is a recently revised one within Alleyn’s.

The successful candidate will work closely with the Bursar and will have extensive involvement with the wider support staff groups throughout the School. The principle areas of activity may be summarised according to the following headings.

Daily support for the Bursar

The Assistant Bursar will:

·  Work closely with the Bursar through a weekly review of activity

·  Manage his/her own portfolio of activity and correspondence, keeping the Bursar informed

·  Liaise as necessary with the Deputy Bursar, Estates Bursar, Finance Manager, Head of Information Services, Head of Security, Academic and other School staff as appropriate


Residential Property

·  Manage the tenancies of School residential properties

·  Carry out periodic inspections and oversee maintenance of the properties

·  Recommend and manage a programme of systematic repair and improvement and prepare annual review of finances on these properties

·  Be responsible for communications with local authority, Dulwich Estate, utilities companies and maintenance department

Bursaries, Scholarships and other awards

·  Coordinate with others in the department about responsibility for the administration and management of applications for financial assistance and bursaries

·  Prepare financial analyses for all bursary assessments and support the Bursar during the admissions process such as with home visits and detailed records such as modelling the scholarships and other awards.

Purchasing

·  Liaise and negotiate with the ratings surveyor in respect of rates payable and appeals

·  Systematically research, acquire and arrange installation of furniture and equipment according to school requirements and budgets

·  Manage the budget and purchase of furniture and other (non IT) equipment

·  Research and recommend better purchasing methods and products

·  Monitor in detail the School’s major contracts such as utility arrangements, reprographics, transport, working with buying consortia, brokers etc to achieve best value

·  Liaise with heads of estates and premises departments to manage and recommend improvements in controlling waste and excess

Health & Safety

·  Develop the School’s policies for specific health and safety matters as may arise from pupils with medical conditions

·  Pursue issues arising from Health and Safety committee, H&S audits and the annual cycles of risk assessment

·  Work closely with the Estates Bursar and other staff to ensure compliance with health and safety practice across the School

·  Recruit, train and manage sufficient numbers of fire marshals

Data protection

·  Support the Bursar in his role as Data Protection Officer


Eco/Sustainability & Responsible Neighbour

·  Monitor and help control energy use, manage recycling. Make cost benefit analyses of sustainability initiatives, make and follow up grant applications

·  Review, update and publish the School Travel Plan

·  Develop initiatives within the School (such as the Bike It programme)

·  Represent Alleyn’s on the Dulwich Safe Routes to School group

·  Be the contact point for local councillors and neighbourhood issues

Vehicles

·  Manage school vehicles, ensuring they are taxed, appropriately insured, maintaining Congestion Charge and bus lane exemption certificates and liaising with others responsible for driver training and maintenance

Insurances

·  Administer to successful conclusion any insurance claims

·  Work closely with the School’s insurance broker to ensure appropriate policy cover across the full range of Alleyn’s activities and best value premiums

·  Manage periodic insurance inspections, loss adjuster visits and ensure the School meets routine statutory obligations connected with insurances

·  Manage the School’s private health insurance scheme for staff

Support staff

·  Support the Bursar in managing the support staff at the School, taking specific responsibility for the line management for named individuals such as the Reprographics technician

·  To work closely with the Head of Human Resources to develop staff policies and general HR matters such as support staff induction and training

This outline does not represent a comprehensive breakdown of all the areas of involvement for the Assistant Bursar, who will be expected to assume other reasonable responsibilities as needs arise.

The Candidate

The role requires excellent written, analytical, administrative, communication and interpersonal skills combined with an empathetic approach to handling sensitive issues. The candidate should be numerate, have experience of analysing financial information and have good IT skills. The post holder will be required to work with a range of different individuals and groups within and without Alleyn’s, they will have a sharp eye for detail and the highest standards of work.

He or she will have the ability to work flexibly, independently, efficiently and to deadlines. Inevitably certain times of the academic year are pressured in the pattern of workload and it is important that the post holder is reliable and maintains a positive attitude.

Interviews

Interviews will be conducted at the School. This will consist of an interview with relevant colleagues including the Bursar and Deputy Bursar. Please note that references may be taken up before the interviews. If you would prefer to be contacted first please state this.

Terms and Conditions

The post is full time. The salary will be between £40,000 and £45,000 pa and will be paid in twelve monthly installments. There is a six-month probationary period. Founder’s Day, which is held on a Saturday at the end of June or beginning of July, is a normal working day.

Normal working hours are Monday to Friday, 9am to 5pm. However, the seniority of this position means that the Assistant Bursar will be expected to work such hours as are necessary to complete the work. The post carries 25 working days holiday per annum plus Public Holidays and any discretionary stand-down period which may be granted over the Christmas/New Year period.

The School offers a contributory Stakeholder pension scheme, staff are provided with lunch each working day, and there are a number of other benefits from working at this leading independent school.
