Administrative Assistant (Bilingual)
Permanent Position; $30,966 - $42,978 plus a full range of benefits
The Maritime Provinces Higher Education Commission (Commission) is seeking an Administrative Assistant (Bilingual) to complete its team. The Administrative Assistant ensures an accurate and timely flow of information, and provides administrative support to the staff. The Administrative Assistant generally works in a team with the other Administrative Assistant but often works independently and enjoys working under pressure from time to time.
The position will appeal to a recent graduate with some work experience and a desire to make a difference in a small office setting; she or he likes to pay attention to detail, is creative, and enjoys developing visually appealing documents (reports, web documents, presentations) that reflect the organization.
The successful candidate will:
· have a college-level diploma in Office Administration, or equivalent.
· ideally, have at least 2 years of administrative-related work experience.
· demonstrate a high level of competency in Microsoft Office and be able to adapt to new software programs.
· be very well organized, and demonstrate a high degree of autonomy and initiative to ensure follow-ups.
· be able to set priorities while adapting quickly to shifting requirements.
· ideally, be fluently bilingual (English and French) in both oral and written communications.
· have excellent interpersonal skills.
Responsibilities will include:
· Document and report formatting
· Organizing and coordinating meetings (support to committees)
· Preparing, forwarding and following-up on files for employees
· Answering and following-up on telephone calls
· Maintaining administrative databases
· Making travel and accommodation arrangements for employees
· Receiving, sorting, and forwarding mail and faxes
· Maintaining an efficient filing system
· Making/maintaining contact with suppliers
· Other duties, as assigned
