Sub: Installation & Commissioning of Computers systems on

Rental basis at RGUHS.

Sealed tenders are invited from the authorized dealers for supplying, installation and commissioning of Computers systems on rental basis to Rajiv Gandhi University of Health Sciences, Bangalore functioning at the above address.

Interested tenderers may obtain the blank tender form from this office during office hours on submission of a requisition along with a DD of Rs.1,000/- plus 9% VAT drawn from a Nationalized Bank in favour of Registrar, RGUHS towards the cost of the tender form. The cost of tender form once paid will not be refunded.

The sale of blank tender form will be from 20/03/2009 to 09/04/2009. The tenderers shall furnish, EMD of 5% total cost for Computer on rental basis in the form of Demand Draft drawn on any Nationalized Bank in favour of Registrar; RGUHS along with the tender. The last date for receipt of filled in tender form is 15/04/2009 up to 1.00 PM. The tenders will be opened on 15/04/2009 at 4.30 P.M in the presence of the tenderers or their representatives that are present .

The tenderer desiring to submit the tender may drop the tender in the ‘tender box’ available in the office of the Registrar on or before the specified time and date. Tenders can be sent by post/courier also. Tenders received after the due date and time (even through post) will not be considered.

Terms: The rental rates should be quoted for all the systems.

SECTION III

Terms and Conditions:

1.  / E.M.D amount 5% of total cost per year for Installation & Commissioning of Computers on rental basis in the form of D.D drawn in favour of the Registrar, RGUHS, Bangalore from any nationalized bank shall be enclosed along with Tender Form. EMD carries no interest. Without EMD the tender will be rejected. EMD of the successful tenderer will be released only after the expiry of the contract period of 5 years. EMD of unsuccessful tenderers will be refunded after finalisation of tender.
2.  / The tenderers shall submit their tenders in two-cover system and in the prescribed form only. First cover will contain technical details, EMD in the form of DD, tender document issued by RGUHS, documents, copies etc., and the Second cover will contain only price bid. Otherwise the tender will be rejected. Prices should be quoted in the PRICE SCHEDULE given in SECTION II.
3.  / The tenderer shall submit their tender in the form issued by RGUHS. Offers received other than the prescribed tender form will not be considered.
4.  / The Agency offering services should have at least 3 years experience in providing such services to reputed organizations. Names and Addresses of the Organizations to whom services have been provided for the last three years shall be furnished.
5.  / The tenderer should furnish the copy of the valid Manufacturer licence/ Authorized Dealer Certificate.
6.  / VAT assessment certificate TIN No. should be enclosed
7.  / Latest Income Tax assessment returns filed by Agency/Firm shall be produced along with the PAN No.
8.  / The installation should be as per the specification furnished in Section II and shall be delivered to the RGUHS within 30 days from the date of receipt of supply order.
9.  / Prices quoted should be valid for a minimum period of 3 months from the date of quote.
10.  / The Rates should be mentioned in both words and figures. Rental rates shall be inclusive of all taxes,
11.  / No requests for advance payments will be considered.
12.  / Accepted Tenderer is required to execute an agreement on a stamp paper of the value of Rs.200/-.
13.  / The rates quoted will be treated, as final and no subsequent correspondence regarding rates will be entertained.
14.  / The Purchaser will award the contract to the Tenderer whose tender has been determined to be substantially responsive and who has offered the lowest evaluated quotation price.
15.  / The Registrar reserves the right either to accept or to reject any tender without assigning any reason.
16.  / The cost of the tender form once paid shall not be refunded under any circumstances.
17.  / The offer made is strict to the compliance with the quality and specification.
18.  / The Supplier shall provide complete and legal documentation of hardware, all sub-systems. The supplier shall also indemnify the purchaser against any levies/penalties on account of any default in this regard.
19.  / The Supplier warrants that the Goods supplied under this Contract are new, unused; of the most recent or current models and that they incorporate all recent improvements in design and materials. The Supplier further warrants that all Goods supplied under this Contract shall have no defect arising from design, materials or workmanship or from any act or omission of the Supplier, which may develop under normal use of the supplied Goods in the conditions prevailing in the country of final destination.
20.  / This warranty shall remain valid for minimum 60 months after the Goods have been delivered to and accepted at the final destination. Onsite comprehensive warranty for 5 years shall include spares and service of rental systems.
21.  / If the supplies are found inferior to the specification and quality prescribed, the tenderer shall replace them at his own cost otherwise the EMD will be forfeited.
Failure to comply with the terms and conditions entails rescinding of the contract.
23.  / On production of the rental bills, payment will be made on monthly basis commissioning of rental computer systems as per the specification and quantity ordered and after satisfactory work report from concerned section.
24.  / Free maintenance /service / upgradation of all the systems for 5 years.
25.  / Should Provide Residential Engineers.
26.  / The computers should be handed over to the RGUHS after the term
(5 years) free of cost.
27.  / The rates of the rental systems should be reduced annually. The tender should specifically mention the reduction in annual rent in Rupees.
28.  / All hardware/software Installation Services should be at providers cost.
29.  / Down time for any system should be just for two hours.
30.  / LAN and networking should be maintained.
31.  / Old systems data should be transferred to new rental systems.
32.  / UPS service is provided by the RGUHS. In spite of that any damage occurs university is not responsible.
33.  / At most care of the system will be taken by RGUHS. In spite of that if any physical damage occurs, RGUHS is not responsible.
