Meet Conditions
1. The event will be held at Sportspark, UEA, on 7th & 8th February 2015. The event will be held under ASA laws and ASA technical rules.
2. Entries may only be accepted from competitors registered as members of the ASA, SASA or WASA or competitors from one of the countries affiliated to FINA.
3. Competitors’ ages shall be as at 8th February 2015.
4. All entries must be long course times or converted short course times and should be visible on the ASA database. All entries must meet the qualifying times stipulated (see separate sheet).
5. No 9 year old age group events in 100’s, 400m Free or 400m IM.
6. Individual entries shall be made on the official entry forms. Where there are three or more competitors from a Club, entries MUST be submitted electronically together with a summary form and either ONE cheque payable to the City of Norwich SC or Payment by BACs (account details on request) MUST be provided for the consolidated payment of all the entries. If you wish to pay by BACS please email for further details. Any Club failing to meet either of these requirements will be subject to a £25 administration charge BEFORE entries are processed. Entry software can be obtained from www.cityofnorwichsc.co.uk. Unfortunately there can be no refunds of entry fees unless the entries are rejected by the organizers for any reason.
7. Swimmers in possession of an ASA Certificate of Swimming Disability or whose ASA membership record details a disability sport class are welcome to enter the competition with a time slower than the lower limit standard. An entry time must be provided.
8. Should the number of entries be lower than expected, the promoter retains the right to accept entries below the qualifying times.
9. This is not a first come first served meet. The promoter reserves the right to limit entries. The slowest competitors may be rejected if the meet is over subscribed. The promoters reserve the right to give preference to accepting complete club entries where swimmers (meeting the qualifying times) are travelling long distances due to having to pre-book accommodation and/or flights.
10. Should the meet be oversubscribed we will be operating a waiting list for additional entries to fill lanes following withdrawals on the day. If you wish to have your name added to the waiting list please contact the promoter.
11. The meet promoter will check entries against the ASA British Rankings database where it is felt that a swimmer may be submitting a slower or faster time in order to gain entry to this meet. Falsely entered times will be rejected without a refund.
12. Swimmers withdrawing from events: A list will be produced for each club’s coach or team manager of their swimmers entered. Withdrawal slips will be available from the recorders desk on the day with a £5 penalty for failure to notify 30 minutes prior to the start of the first event in each session.
13. Competitors must report to the steward’s area 2 events prior to their own where they will be given their start order. Any swimmer not reporting may be deemed to have withdrawn from that event. Heats will be seeded with fastest entrants swimming last. All heats will be spearheaded. All events are HDW (Heat Declared Winner).
14. The top three in each age group will receive a medal. A competitor who has been disqualified will not receive an award. An award will be made to the Top Boy, Top Girl and Top Visiting Club.
15. The promoters reserve the right to refuse admission to any competitor or spectator.
16. The promoters do not accept responsibility for any property. Lockers are available in the changing rooms and should be used for the safe keeping of all belongings. You will need a padlock for the lockers. If you do not have one you can buy or hire them from reception at the Sportspark. Items have gone missing from poolside in the past so please look after your belongings.
17. UEA City of Norwich SC uses a computer to manage entries and results. By submitting and accepting entries to the meet consent is hereby given, as required by the Data Protection Act 1998, to the holding of personal information on computer. Personal data handled such as name, club, recorded and entered times may be made public during or after the meet.
18. The promoters reserve the right to make alterations to the above conditions if necessary. All participants will be informed of any such changes.
19. Closing date for entries midnight on 19th January 2015.
20. Charges as follows:
· Entry Fees £6 per event
· Coaches Passes £20 (no food); £40 (with food) for the weekend
· Spectator fees £3.00 per session, £5.00 per day or £10 for the weekend
· Programmes for the weekend £6.00
21. Coaches’ passes will not be sold on the day – no pass, no admission poolside.
22. All persons wishing to use photographic equipment - including mobile phones with photographic capacity - must register at the entrance desk. No photography is permitted poolside.
23. Please help to maintain a high standard of health and safety by not blocking stairways, emergency exits and walkways with bags and report any issues immediately to a member of the pool staff or to the Open Meet Promoter.
24. Clubs entering more than 10 swimmers are asked to provide at least 1 licensed official using the form included in this pack.
25. Warm up protocol: Strictly no diving during any warm-up sessions, except in the designated sprint lanes, odd lanes will swim clockwise (1, 3, 5, 7) even lanes (2, 4, 6, 8) will swim counter clockwise. Swimmers using sprint lines must swim 15 metres before slowing up. All swimmers must leave the water by the side of the pool and not over the timing pads. Coaches should manage the lanes their swimmers are using during the warm up sessions.
