TITLE:Marketing Coordinator

GRADE:Scale 6

RESPONSIBLE TO:Head of Marketing and Communications

PURPOSE OF JOB:

  • To support the Head of Marketing and Communications in developing and delivering effective marketing strategiesand campaigns contributing to building and maintaining the College’s reputation and aiding student recruitment
  • Coordinate the college’s student volunteer programme and alumni associationensuring that these function effectively and aid student recruitment and support marketing activity
  • Collaborate with the Design and Production Manager over the production and delivery of marketing and promotional materials

MAIN TASKS AND RESPONSIBILITIES:

1.In common with all other staff:

1.1To support the College’s mission, vision, values and strategic objectives;

2.3Such other duties of a similar nature commensurate with the grade as may be required from time to time. This may, on occasion, require work in other locations/sites of the College.

3. Particular to the Post:

3.1To work effectively within the Marketing team to help organise and support events and promotions for the College and externally funded projects. Will include supporting, when appropriate, the Events Coordinator to ensure that all planning and practical arrangements are in place for each event, including speakers, staffing, venues, refreshments, invitation lists and replies, promotional items and displays etc;

3.2To support the delivery of the College's promotional and advertising needs, under the supervision of the Head of Marketing and Communications. This can involve booking and placing advertisements in traditional and new media and collaborating with the Design and Production Manager (and on occasion external designers) over the production of marketing advertising and collatorals like leaflets, merchandise, posters etc;

3.3To coordinate the college’s student volunteer programme ensuring that the programme is well managed, adequately recruited and students regularly available to support college events – open day, taster days, enrolment etc. This will require regularly oversight and liaison with students and close working with the events co-ordinator to ensure events are fully staffed.

3.4To coordinate the college’s new alumni association. This will require working to recruit alumni to the association, developing an engagement plan, sourcing content and producing news updates for alumni and liaising with alumni to support the college, eg at events, speaking to students, mentoring, marketing profiles etc.

3.5To support the delivery ofthe College’s digital marketing campaigns and social media channels,in collaboration with the Design and Production Manager and digital suppliers. This can include collating information, writing copy, choosing and editing relevant photos, video or animation;

3.6To work with staff across the College to co-ordinate, produce and write copy for promotional literature both on and off-line, including prospectuses, leaflets, adverts/advertorials and flyers, making sure deadlines are met under the supervision of the Head of Marketing and Communications. To make sure that materials and displays adhere to the College’s corporate identity and meet the requirements of other external funding bodies;

3.7To oversee and contribute to the maintenance of the College’s course information on external search engines/databases; uploading, amending and deleting course information and setting up and managing marketing databases/mailing lists (prospective students, school careers advisers, press contacts), which can be used for various objectives across the College;

3.8To maintain detailed and accurate records of work and expenditure in relation to all events and projects;

3.9To support the College's promotional eventsboth internal and external – open days, taster days, interview evenings, parents evenings, schools visits etc - which can involve attending external venues and some out of hours working – evenings and including a high number of weekends over the summe and being brand ambassador and sales representative

3.10To coordinate internal communication:collecting articles, displaying news stories on promotional boards in the college; collecting news items, formatting for web, upload and maintenance of news on intranet site; development of internal communication strategy along with Head of Marketing & Communications;

3.11To coordinate photo sessions with external photographers- this includes liaising with internal staff and students, setting up a schedule for the session, photographer briefing, art direction of shoots in conjunction with the Design and Production Manager;

3.12To compile, implement, analyse and evaluate ad hoc surveys amongst various stakeholders (students, staff, prospective students etc.);

3.13To support work experience students/interns in the marketing department on an ad hoc basis, as agreed with the Head of Marketing and Communications.

4.Person Specification:

4.1Educated to degree level or equivalent with a relevant qualification in Marketing/Communications (E);

4.2A thorough knowledge and high standard of competence in Microsoft Office and particularly accurate skills in using word-processing, spreadsheets and databases (E);

4.3A willingness or ability to grasp new software for market research purposes and an ability to use or willingness to learn publishing packages (D);

4.4 A working knowledge of digital and new media communication tools with a track record of implementation and success (E);

4.5Minimum of two years experience in a Marketing/Communications role (E);

4.6A good creative sense and familiarity/awareness of design techniques and styles (E);

4.7An understanding of the Further Education sector and educational environment is desirable, but not absolutely essential (D);

4.8Experience of working with/coordinating volunteers or with young people; (D)

4.9An ability to analyse and evaluate data with regards to market research (E);

4.8Excellent written communication skills, including copy for corporate publications, press releases, editorial, adverts, correspondence and other marketing materials. Possess excellent spelling and punctuation skills and ability to proof read thoroughly (E);

4.9A flexible, adaptable and enthusiastic approach to work and willingness to work as a collaborative team player (E);

4.10A proven ability to motivate colleagues (E);

4.11A proven ability to organise, prioritise and schedule work to meet strict deadlines and to progress/chase where appropriate, and to work under pressure without direct supervision (E);

4.12Evidence of the ability to communicate effectively with people at all levels including staff, managers, stakeholders, external agencies and members of the public, both face to face and by telephone and email; ability to take accurate notes and messages. The ability to liaise with colleagues with tact and diplomacy and persistence when chasing deadlines (E);

4.13Experience of and skills in implementing a range of office systems including filing, progression of work and record keeping (E);

4.14Evidence of the ability to work using initiative, both independently and as part of a team, and to establish effective working relationships (E);

4.15An understanding of and commitment to equal opportunities and practical ideas for their implementation through the scope of this post (E).

Additional Information:

Working Arrangements

Hours of work: 35 hours per week - all year round. Routine fixed daily start and finish times between 08:30 and 21:00 by agreement. Some out of usual hours will be required, this time will be taken back as TOIL.

Under exceptional circumstances, e.g. alterations in the College’s pattern of working or changes in pattern of demand, the hours of attendance may be varied after consultation with the member of staff concerned.
