SDMC Meeting Minutes
September 28, 2017
I. Call to order.
Principal Rita Graves called the first meeting of the Pin Oak Middle School SDMC for the 2017-2018 School Year to order at 4:00 p.m. on September 28, 2017, in the DLL.
II. Roll Call/Introduction of Members.
Principal Graves’ first order of business was to conduct a roll call of the members present, with a focus on introducing the newest members of the SDMC, followed by a review of the agenda.

b) The agenda review included:

· Meeting Dates for the 2017-2018 School Year,
· Student Enrollment,
· Flood Support Update, and the
· 2017 Accountability Rating and School Improvement Plan.
At the conclusion of the agenda review, Principal Graves led the conversation through each agenda item. The information discussed included the following:
III. The Role of the SDMC.
As part of the district’s continued focus on the importance of campus-level planning and decision-making each school is responsible for the creation and maintenance of a Shared Decision-Making Committee (SDMC) to review the district’s educational goals, objectives, and major district wide classroom instructional programs. Each SDMC is designed to involve professional and non-professional staff, parents, community members, and business representatives in assisting the principal in reviewing, developing, and recommending the academic and other performance objectives of the school. These may include the development of recommendations concerning the school’s budget, curriculum, and staffing, as well as the development and review of the School Improvement Plan (SIP) for the purpose of improving student performance.
IV. Meeting Dates.
Future meeting dates will occur the second or third Thursday of each month for the remainder of the 2017-2018 school year. All meetings will be held in the DLL at 3:50 p.m., unless stated otherwise prior to each meeting. Any SDMC members can recommend agenda items by emailing Principal Graves, no later than noon the day of the meeting.

V. Student Enrollment.
In regards to student enrollment, Pin Oak MS projected an enrollment of 1,245 students during the District’s budget process that concluded in May 2017. The projection was slightly higher than in prior years. Since the District allocates funding based on the number of students as well as student demographics, the higher projection allowed for an increase in our budget to meet operational expenses. Actual enrollment is currently 1,248 (423 6th Graders, 425 7th Graders, and 400 8th Graders). Since the start of school one student has withdrawn and one additional student has enrolled. There is also the possibility that two additional students may be enrolling through Special Education. POMS final budget will be based on the number of students at October snapshot. If we maintain current enrollment then we can expect to see an increase in budget of approximately $9,000.
VI. Flood Support Update
In regards to flood support, Principal Graves gave a summary of all the ongoing support by the PTO and the community. The PTO mobilized a significant support effort immediately after the flood waters started to subside that included support teams for storm cleanup, drywall removal, picking up and cleaning of laundry, and providing meals; as well as working with local churches for cleaning supplies, cleanup efforts, and other necessities needed to support our students and their families. They also organized a uniform and toiletry drive that allowed all of our students to be in uniform.
Deer Creek MS, located in Edmond, Oklahoma also adopted POM and did a gift card drive. As a result we received from them a box full of gift cards from Lowes, Home Depot, Walmart, Target, Amazon and others. Letters and emails went out to the families that let us know that their homes were flooded, as well as those families that our staff and PTO submitted so that the cards could be distributed quickly to those in families in need. Seventy-four families received the gift cards. In regards to our staff, we had thirteen staff members significantly impacted by Hurricane Harvey, with nine having their homes flooded.
VII. 2017 Accountability Rating and School Improvement Plan (SIP)
In regard to the 2017 Accountability Rating, Principal Graves reviewed in detail the TEA 2017 Accountability Summary for Pin Oak Middle School. Each member was also provided a copy. POMS met standard and achieved distinction designations in six out of seven areas: Academic achievement in ELA/Reading, Mathematics, Science, Social Studies; as well as Postsecondary Readiness and Closing Performance Gaps. No distinction was earned for Top 25 Percent Student Progress. In regard to the SIP, Principal Graves reviewed where we end up in regard to the 2016-2017 goals and outlined proposed goals for where we needed to go next in the 2017-2017 school year. The next step will be for the administrative team to develop detailed plans and SMART goals that will be reviewed by the teaching and support staffs over the next few weeks.
