2013-2014 Benner Elementary PTA Meeting

January 13th, 2014 6:30 – 7:30

In order to vote on this evening’s business items, you must be a Benner PTA Member whose dues are paid for 2013-2014.

I.  Meeting called to order 6:35pm, Pledge of Allegiance

II.  Vice President I (Deb Leonori) Programs/Family Fun Nights (Deb was out sick; Roger provided update during unfinished business section)

III.  Vice President II (Jillian Hockenberry) Membership

a.  Currently we have 26 members, which is less than we had last year.

IV.  Treasurer’s Report (Jen Cadman)

a.  Ending cash balance is $24,477.23

b.  Oakbrook (Fall fundraiser) is mostly paid; profit is $5557.50

c.  Misc revenue of $250 resulting from parent donations

d.  Book fair profit was $1017, which will be divided among 13 classrooms plus Mrs Roos and (one other—Jen?); this comes to $67.85/teacher in their accounts

e.  Winter carnival profit was $1194.24

f.  Motion to approve Treasurer’s Report made by Mrs. Rosenberger; motion seconded by Roger; all were in favor and none opposed.

V.  Secretary’s Report (Bethany Underwood)

a.  Motion to approve meeting minutes from November made by Jill; motion seconded by Jen; all were in favor and none opposed.

VI.  Unfinished Business/Announcements:

a.  Decision on PTA fold out board (pictures) and new Banner by Shannon Lake.

i.  Example outside of Mr Vancas’ office.

ii. The logo was used to create stickers which were handed out at Winter carnival; the teachers and Mr Vancas expressed interest in using them as well.

b.  Parent Volunteers - A major Benner PTA goal for this year is increasing parent volunteers in the classroom

i.  Still trying to get more classroom volunteers; has a big impact on the kids

ii. Mr Vancas said there are about 13 parents who consistently come in; successful so far but would like to see more

iii.  Suggested we re-advertise

iv.  Cost can be prohibitive; can be re-imbursed after 20 hours (set by the school district)

v. Question if the school nurse could administer the tb test if it would be cheaper; not likely for that to happen

vi.  Possibility for PTA to reimburse after 5 hours; don’t want cost to be a barrier for people to be in the classroom

c.  Yearlong fundraisers

i.  Re-distribute and emphasize the ‘fundraiser primer’

ii. Box Tops – come on many items –huge help in our budget

iii.  Campbell’s Soup Labels

iv.  Giant A+ School Rewards (School ID 01511)

1.  Sign up at the store – if you can do this and ask one other parent to do so as well, it makes a huge difference.

2.  How many people are signed up?

v. Home Team School Rewards

vi.  Tyson Project A+ Program

vii.  Coke Rewards

viii.  Pizza Mia – need to promote this more! Can we sell at All Pro Dads breakfast; order form?; table at dismissal time on a Friday (Bethany and Jill would do); would John be up for advertising at the register for Benner?

d.  Spring Fundraiser (Sandy Richer – thank you!) – Mariana’s

i.  Will also be training Jillian Hockenberry

ii. Delivery date Tues 3/11 at 1:30pm; need 6 volunteers throughout (shifts)

iii.  week of 1/27 send out forms/fliers

iv.  Fri 2/21 forms and money due; have envelopes for teachers

v. Call in final number by 3/4 so there will be a little time for late orders

vi.  Profit $1.50 per item

vii.  $6.50 per hoagie; specialty pizzas $8.50

viii.  Request approval for a class prize (lunch pizza party with Mr Vancas) --winner based on percentage.

ix.  Other prices/profit available; but lets give people what they are used too. $6.50 is reasonable price for a hoagie

e.  Family Fun Nights

i.  Approached by Benner parent/ fitness group for fun nights.

1.  Maybe February.

ii. Also – karate night?

f.  Book Bingo/Reading Night – Friday 2/28 6pm Mrs Roos is running it with Deb L

g.  Book Fair – Thank you Mr Bollich

i.  Note – the proceeds from this help support the Class Accounts

h.  Winter Carnival

i.  Friday January 10th – wonderful job! Thank you to Jen, the committee and all the staff who helped.

ii. Need to make sure we find a new High School Key Club contact (current one is a senior); 10-12 were helpers.

i.  Shannon Lake – Lake Creative Communications - has stepped forward and would like to help create promotional items for the PTA

j.  Teacher appreciation

i.  Chair? Roger will ask Shari Reed; Jen has some names

ii. Dates? 1st week of May

k.  5th grade graduation

i.  Sandy will chair; possible Kerri O'Shea to take over next year– have 4 other people on list

ii. Traditionally the 4th grade parents run event so that the 5th grade parents can have fun.

iii.  Need a few people to accept the food donations and set up outside

iv.  Gift for the kids; previous year did a Red Raider bag and T-shirt

v. Usually 5th grade parents will pay for the gift

vi.  Mr Vancas bought cake

l.  Yearbook – Tiffany

i.  Due date?

ii. Need to train another parent to take over soon.

m.  Field day picnic

i.  Currently have Cindy and Rachel listed – ok?

ii. What other help do we need? Need to get someone with younger kids involved to transition.

n.  PSSA treats –

i.  Deborah Clark?

ii. When and what are the needs?

VII.  New Business:

a.  Rodney H is going to do the mural on a piece of plywood to make it 3D; possibly mount it on the wall in the cafeteria since kids are in here every day.

b.  Also would like to have it on the blacktop.

c.  What would parents like to see from the PTA?

d.  A Benner Elementary Parent Facebook page is available – it is a ‘secret’ group to better control membership. We share information on summer camps, activities in the area, and opportunities for learning.

i.  Ask a parent who is already a member for details if you would be interested.

e.  Ideas to bring in new volunteers – our goal is to find simple, fun things that fit with what you are comfortable with, and would like to do.
