OBJECTIVE

The Healthwatch Senior Administrator will oversee the administration of the local Healthwatch and assist the Healthwatch Manager and Help and Care. Healthwatch provides local people with the chance to say what they think about local health and social care services, give people the chance to influence how services are commissioned and delivered, and feedback to services what people have said about services so that things can be challenged and improved.Healthwatch seeks to engage with people in local communities from a wide range of backgrounds, including those who are socially isolated or seldom heard. It provides a focal point for the articulation of views of local people, for them to be listened and responded to by health and social services commissioners and providers, to challenge and influence change.

JOB DESCRIPTION

  1. To enable the successful delivery of the local Healthwatch and provide administrative support for the local Healthwatch team and Help and Care.
  1. To support the Healthwatch team and Healthwatch manager with administering the team’s Work Plan administration requirements.
  1. To be responsible for providing administration support for the Healthwatch team and Volunteers.
  1. To manage and maintain the office administration systems and procedures as required.
  1. To maintain effective liaison with and support as appropriate other areas of the local Healthwatch and Help and Care’s work.

TASKS

  1. To give an efficient and effective response both in person and on the telephone to the local Healthwatch, Help and Care enquiries and information requests.
  1. To contribute to the administration requirements of the local Healthwatch Work Plan actions as agreed with the Healthwatch Officers and Manager. To progress and chase actions for the team following the work plan to meet agreed deadlines.
  1. To provide administration support to the local Healthwatch team,administration support for the project groups, preparation, planning and coordinating events of meetings and events, distributing information, booking appropriate venues/rooms, coordinating invites, organising refreshments and room set up.
  1. To assist with project preparation: on-line research, provide information lists and data reports (as required) literature search, copying information, coordinate mail outs/ Mailchimp/posting out information.
  1. To give an efficient and effective response both in person and on the telephone to local Healthwatch and Help and Care enquiries and information requests.
  1. To ensure that local Healthwatch administration is delivered in line with correct procedures and processes are being adhered to.
  1. To produce and coordinate information and reports as required.
  2. To ensure that local people’s views and experiences are captured and recorded in the CRM system. Retrieve data from the CRM.
  1. To effectively and efficiently deal with correspondence, enquiries mailbox, calls and record keeping. Coordiantate diaries.
  1. To download and upload material and data to and from website as directed.
  1. To liaise with outside agencies/suppliers/bodies as directed.
  2. To carry out other such duties in relation to local Healthwatch as may be required by the Healthwatch Manager.
  3. To carry out other such duties as may be required by the Chief Executive and Board of Trustees that are consistent with the duties and responsibilities of the post.

CONDITIONS

The working week shall be 37 hours (as agreed) during standard office hours. The nature of the work will also necessitate occasional evening/weekend work to attend meetings etc. for which time off in lieu will be granted.

The nature of the post will require travel in the Senior Administrator’s own car for which expenses will be paid as set by the Trustees. The postholder will be required to hold a current valid driving license.

The other conditions of service and other current procedural agreements will be enclosed with the post-holders Contract of Employment.
