Travel Authorization Procedure
1. Log into PeopleSoft using myportal.sdccd.edu
2. Click on the large MENU button on the main portal
3. Choose the Finance Service Center
4. Click on Travel & Expense
5. Choose Travel Authorization
6. The Empl. ID field will default to your Employee ID from your PeopleSoft profile
a. You can click on the magnifying glass to search for an Empl.ID if necessary
7. Click on “Add” to choose your TA creation option.
8. To use the EZ authorization form simply click on “GO”.
9. Click on “Select” to choose the EZ Travel Authorization
10. Enter the Date Range
11. Enter a Description and click on the dropdown to choose a Business Purpose
12. Enter the Amount for each type of expense and select a Payment Type
from the dropdown menu
13. Enter the Accounting Summary (Budget numbers will be provided)
If necessary enter the % of the split was determined by entering the percentages – the default is 100%. Use the Add ChartField Line if additional lines are necessary.
14. Click on “OK” to create the TA
15. Click on “OK” to confirm supporting documents reminder
16. Upload backup documentation as an attachment
a. Click “Attachment”
b. Click “Add Attachment”
c. Click “Browse”
d. Choose document as attachment
e. Click “Upload”
f. Click “OK”
19. You now see the number of Attachments in parentheses.
Click on “Check for Errors” to confirm that everything was entered correctly
17. If errors occur, correct the budget number by clicking on Accounting Detail. Click “OK” when complete.
18. Click on Return to Travel Authorization when corrections are complete
19. Click on “Save for Later” to obtain a TA # and to ensure work is saved
20. Click on “View Printable Version”. Print to a PDF file and send to approvers.
21. After email approval by AS Treasurer, log back in
22. Repeat steps 1-6
23. Click on “Find an Existing Value” and enter all 10 digits of the Authorization ID # including leading zeros, then press “Search”
a. If searching by name click on the dropdown, choose “Name” and enter traveler’s last name, then choose correct TA# and click Search
24. Make any necessary changes or updates then click on the “Submit” button
25. Click on “OK”
26. Confirm that the TA was “Submitted for Approval”
For Reconciliation after Travel is completed you will submit an Expense Report (ER)
1. Repeat steps 1-4
2. Choose “Expense Report”
3. Click on “Add” to create a new ER
4. Click on Quick Start dropdown menu
5. Choose “A Travel Authorization”
6. Click “GO”
7. Select the appropriate TA for this travel
8. Make necessary changes and updates to the amounts and dates
9. Click "Save for Later” to save your work and obtain an ER #
10. Upload receipts for actual expenses as an attachment
11. Click on “Submit” to submit for approval.
