Meeting Minutes

October21, 2012

Open Forum: a) JustinL looking to join JrWp football board.

b) This is TimS 3rd meeting. KurtT motion to vote TimS to JrWp board, JeffE 2nd, vote 8-0 accept.

c) Year End PeeWee Halloween football tournament, TimS. TimS had all the PeeWee football coaches nominate their best players for a year end football tournament to be held Oct 26th – 28th in Minneapolis. So far we have 26 kids committed to play & we are expecting up to 2 more. Practices to be held 10/19 - 10/20, 10/22 – 10/24, 10/26 at Hamlet field. Cost is $70 for entire team, we will play 3 games. DaveB motion to have JrWp pay $70 entry fee for this tournament, DanS 2nd, vote 9-0 accept. D

Treasurer’s Report, DaveB – Current balance $26,844.37. We still need to pay main CGAA board fee of $15 per kid, should be somewhere between $6,000 - $6,500. We also have not paid for use of fields or Community Ed for the day of fun. Referees have all been paid & all uniforms/equipment has been paid. We need to submit a budget for auditors & main CGAA board for calendar years 2012 & 2013.

1) Sept’12 meeting minutes not set out before meeting & will have to be reviewed at Nov’12 meeting.

New Business:

2) Mites Report, JoelK. None, JoelK not here.

3) WeePee Report, DanS. WeePee’s halftime show at Park HS went well. 2012 season in review: 3rd grade, 4 teams, all seemed to go well, no complaints. 4th grade, 3 teams, not so good with games, not enough teams. DanS spent a lot of time looking for other teams to scrimmage like EastRidge & Stillwater. Will do a better job scheduling (games) for next year. Day of fun went well for 4th grade, 3rd graders played 2 games that day & that was probably too much. Year-End stocking hat we a huge hit & very well received instead of year-end medals or trophies.

4)PeeWee Report, ScottG. We need to settle up with Hastings for paying refs. We need dates for equipment turn-ins. Are players playing in year-end Halloween tournament still covered under JrWp/CGAA insurance? Yes, players still covered. 2012 season in review: Hastings & Prescott still not spreading talent evenly among teams & not playing kids equally. The board run draft went well & the evaluation process seemed to work. Of the 6 JrWp teams, wins/loss records were 10-2, 7-5, 4-8, 4-8, 4-7, & 3-9. Although JrWp football is still to be a development league we are not currently looking to create an All-Star traveling team, maybe we should let parents know there is NOT equal playing time at this level & maybe we can develop a Parent Expectations form spelling out our goals & expectations similar to what CGAA basketball does?

5) PeeWee 5th / 6th grade split for 2013 season. Potential problems with splitting the 2013 5th / 6th graders: incoming 4th grade class has really small numbers Probably 50 kids? Also, Hastings is really reluctant to splitting its program & Prescott says it doesn’t have the numbers to do so. If we move forward with this, we will probably loose Hastings & Prescott & will have to look elsewhere for teams to play.

6) DarinG Park HS FB coaches report – need to set an earlier date for midseason / year-end coaches meeting. Good attendance with JrWp coaches. JrWp needs to revisit Mites Program. DarinG still need to get copies of coaches play books. Need to work on coaching certification requirements & what will happen if certifications not completed. (for 2013) need to get JrWp picture banner with all the teams photos and/or group photo. Would like to see alignment tapes as standard equipment for all teams and would also like to know what other equipment needs coaches have requested. Park HS might be able to help. For the 2012 golf outing split between JrWp & Park Boosters, it should be 80% (JrWp)/20%(Park Boosters). DarinG to talk to boosters club about getting better participation.

7) Officials & Fields, TonyY. May have problem using Hamlet field for Halloween practices. We told city officials that our season was over as of 10/14. That’s why (the city) had the field aerated. Referees are all paid & most all the refs said they would like to come back again next year. WeePee’s fine with refs.

8)Year End Surveys. As of today, there have been 91 parent surveys completed, 17 coaches, and 127 players evaluations + 22 sent by Steve Gunderson offline. We need to get more surveys completed. All coaches need to fill out coaches’ survey, ScottG & DanS to send out reminder to coaches about this.

9) BOX, DanS. DanS has created a new website thru BOX where we can store all our JrWp data, e-files, registrations have on-line chats all in 1 central location. DanS to send out link to board to join.

10) JeffE knows someone from Chanhassen football that is looking for other communities to play 7th & 8th grade football.

11) Concessions from Day of Fun, ScottG. We went through 16 pizzas, hotdogs, waters, Power Aids, coffee & candy bars. Later someone went out & got Hot Cholates. ScottG paid $100 out-of pocket for candy bars, returned $120 of waters & Power Aids, but still thinks we raised $230 for JrWp football from concessions.

12) We need board member’s help with gear turn in dates. It cannot just be Marc Johnson by himself. DanS to contact MarcJ for dates.

13) KurtT- motion for $500 to pay for any miscellaneous expenses occurred between board meetings.DanS 2nd, vote 9-0 accept.
