Hours / 18 hours per week - Tuesday 9-17:30, Wednesday 9-17:30, Thursday 9-12:00 – Maternity cover, 1 year contract (Daily working hours can be discussed but must be consistent)
Salary / £28,000 per annum pro-rata

Job Description – Trust Secretary – Maternity Cover
Legal and Compliance
- Working with the Board of Trustees to ensure the ALMT complies with Charity Law and any other relevant legislation and regulations.
- To enable the trustees to fulfil their responsibilities for the proper governance of the Trust, ensure that they receive advice and information in a thorough and timely manner.
- Draft text and design for the Annual Report for approval by the trustees and file with the charity commission on or before the deadline issued.
- Management and support of staff and volunteers, where applicable, including keeping and maintaining all relevant HR documents.
Finance
- Conduct monthly payments and maintain the ALMT filing system for hard copies, cheques, invoices etc.
- Work with the ALMT’s book keeper one day per month to provide paper work, invoices and any other details to enable the book keeper to adequately reconcile the ALMT bank account.
- Liaise with the ALMT Book Keeper and the Trust’s accountants, Blythe and Associates, to complete the ALMT annual accounts and Independent Examiners Report as appropriate throughout the year.
- Provide the trustees with accurate financial updates.
Administration and IT
- To act as Secretary at the trustees’ meetings and partners committee meetings and issue agenda papers and minutes.
- Prepare supporting information for meetings of trustees including summaries of proposals from applicants for grants.
- Organise venues and speakers for meetings as required.
- To manage and maintain appropriate IT software and hardware including the ALMT’s Salesforce Database and take responsibility for the regular backing up of the Trust’s data and its safe storage
- Manageand update the Trust’s website.
Fundraising and communications
- Support the ALMT Major Donor Manager in developing the ALMT’s Co-Funding Scheme including organising engagement events, creating marketing materials and up-keeping the database of donors/co-funders/leads.
- Support the ALMT’s Partnerships Development Manager on new and existing Corporate Partnerships.
- To organise and participate in some events out of office hours e.g. fundraising and publicity events.
- To act as a point of contact within the organisation for internal and external communications.
- Production of e-newsletters and other forms of communication to ALMT supporters.
Grant making, monitoring and evaluation
- Maintain and update ALMT grant making documents e.g. ALMT grant making guidelines, reporting guidelines and any templates used.
- Send necessary grant agreement paperwork and follow up for successful applicants. Collate interim and final reports for Trustee Review and Evaluation.
- Working with the ALMT Partners Committee, review each application against eligibility and funding criteria, conduct due diligence, meetings and/or phone calls before an application is presented before the Board of Trustees.
- To authorise and process grant payments to charities in the UK and overseas in accordance with trustees’ decisions and grant conditions.
ALMT Pro-bono advice and Support Service
- To maintain relationships and support charity partners through the ALMT pro-bono support scheme is desirable. The ability to utilise own skills and expertise to assist and support charity partners where needed and when appropriate is advantageous.

Experience and knowledge
At least 2 years of working in a senior role / Essential
Proven track record of fundraising at a senior level for a project or organisation / Desirable
Experience of developing new income streams for an organisation / Desirable
Experience in the not for profit sector / Essential
Experience of fundraising databases such as Salesforce / Essential
Good understanding of charity law / Desirable
Experience in using Photoshop/ Dreamweaver / Desirable
Sound knowledge and experience of using a website CMS and regular updating of social media platforms / Desirable
Completion of statutory returns for Charity Commission, Companies House / Desirable
Experience of organising, preparing, leading and taking minutes at meetings / Desirable
