Position: WASH Finance and Administration Officer

Location: This position is based in Melbourne, with some travel required

Tenure: Full-time – Six months renewable

POSITION SUMMARY

The Finance and Administration Officer will contribute to the overall operation of Live & Learn, the main focus of her/his work will be contributing to ensure that Western Pacific Sanitation Marketing and Innovation Project(WPSMIP) is compliant with all finance and administrative requirements.

WPSMIP is funded by the Australian Government and is being implemented in Vanuatu, Solomon Islands, PNG and Fiji by a consortium of Live & Learn (Lead), International Women’s Development Agency (IWDA) and International Water Centre (IWC) working alongside in-country locally registered offices of Live & Learn. The main focus of the program is the development and establishment of community-based sanitation enterprises in peri-urban, informal settlements, whilst also facilitating an optimal enabling environment for these enterprises to succeed and thrive. The Program also aims to improve sanitation and hygiene outcomes in schools, by working with a range of Change Agents.

KEY RESPONSIBILITIES

§  Convey all the required instructions and policies of the organization to the field staff and the views of the field staff to the leading team.

§  Maintain and updates storage of important organisational reference documents.

§  Monitor administrative aspects of the Melbourne and the field offices.

§  Maintain employment contracts and email directory for staff in Melbourne and overseas.

§  Take minutes of relevant office and project meetings.

§  Be responsible to supervise the procurement and purchasing of all assets within all offices of the project.

§  Be responsible to negotiate services agreements with vendors for the project.

§  Assist the Finance Manager in keeping and maintaining all the project accounts records in soft as well as in hard form.

§  Assist the Finance Manager in dealing with all the accounts of the organization and managing banking matters of all offices.

§  Be familiar with MYOB Accounting software for data entering and prepare monthly bank reconciliations.

§  Conduct verification of all the project accounts and records before audits.

§  Develop and maintain effective professional, respectful and responsive relationships internally and externally.

§  Receive advice from the International Program Manager and Finance Managers on relevant issues and attend to the information/inquiries sought

SELECTION CRITERIA

Qualifications / Experience:

1.  Tertiary qualifications in Finance, Accounting, Business & Commerce, Administration, or related relevant fields.

2.  Proven experience of building effective relationships. Experiences in Finance & Administration including working on MYOB and excel are required. Working experience in NGO sector more than 3 years is preferred.

Skills & Abilities:

1.  Work Organisation: Result oriented. Able to coordinate a range of complex tasks simultaneously. Able to effectively prioritise and organise own workload.

2.  Work Knowledge:Understanding of LLEE policies, processes and practice as they apply to meet donor requirements.

3.  Work Experience: Proven experience of building effective relationships. Experiences in NGO sector on Finance & Administration including working on MYOB, Excel, etc.

4.  Communication:A high standard of written and oral skills including the ability to present. Excellent listening skills. Able to adjust personal style to meet others needs.

5.  Problem Solving: Has the ability to manage through crisis situations in a calm and confident way.

6.  Attention to Detail:Demonstrated numeracy, accuracy and attention to detail.

7.  Interpersonal:Is able to develop professional relationships of trust and confidence. Is able to negotiate and consult effectively. Able to develop equitable partnerships. Able to work effectively in a cross-cultural environment.
