INVITATION ARTSCENE FESTIVAL 2012

Dear ARTSCENE friends

Please find enclosed the official invitation to the 17th ARTSCENEALLENGLISH festivalstaged by VZW Roeland, a youth organization promoting language skills.

Our festival takes place in Ghent (Belgium) at the “Tinnenpot” theatre in the historical city centre, from 25 April– 27 April 2013. We would like to welcome you on Wednesday 24 April in the afternoon, and departure is planned on Sunday 28 April 2013 after breakfast.

The theme for this year is “Let’s party!” leaving space for interesting interpretations. Your play should not last longer than 40 minutes and may contain a short piece (preferably a very visual or musical piece, not exceeding 5 minutes) in your mother tongue.

The festival registration fee (of €150 per person) includes accommodation on a full board basis (four nights) and participation in the drama festival, workshops and a cultural programme.

FESTIVAL RULES AND REGULATIONS

General information

  • Target group: young students (13-18 years old) performing in English
  • Maximum 15 students per group
  • Two accompanying teachers/directors per group are responsible for each of the participating students, ensuring disciplined student behaviour throughout the festival and active presence during all activities.
  • Special care must be taken when using the theatre’s props, sound and lighting equipment

Dates

  • Arrival: Wednesday 24 April 2013 in the afternoon
  • Departure: Sunday 28 April 2013 after breakfast

Festival location: Tinnenpot Theatre in Ghent

Festival content

  • Performances by the invited groups
  • Forum discussions (time to discuss a play)
  • Tour of Ghent (foreign groups are guided around Ghent by a local group)
  • Workshops by professional actors / dancers
  • Closing ceremony and party

Performance requirements

  • One drama piece in English (maximum duration 40 minutes, of which maximum 5 minutes may be performed in the participants’ mother tongue – preferably a very visual or musical moment)
  • Required equipment (props, sound, lighting) must be kept to an absolute minimum

Insurance

  • All participants, teachers and directors must have the necessary civil liability insurance and health/travel insurance documents
  • The accompanying teacher must carry these insurance documents at all times

Basic rules and regulations

  • Participants strictly respect the festival schedule
  • Participants are present during all activities, workshops and performances
  • Participants carry their festival badge at all times
  • Participants arrive on time for all performances and do not disturb performances in any way (no chatting, no mobile phone use etc. during performances)
  • Both the stage and backstage area must be cleared within fifteen minutes after each performance

Accommodation

  • Participants and accompanying teachers/directors are accommodated at the youth hostel or in a hotel
  • Students and teachers/directors will not disturb anyone’s sleep. The hostel and the hotel request that no alcohol be consumed in the rooms. Smoking in the buildings is not allowed.

Financial information

  • Transport to and from Ghent is not included in the registration fee
  • The registration fee (covering 4 nights, full board and festival workshops / activities) amounts to 150 euro per person (students, accompanying teachers/directors, drivers). You will receive an invoice one month after registration for the latest (50% of the total amount). Please deposit the requested amount within 8 days into our bank account: Vzw Roeland, Krijgslaan 18, 9000 Gent, Belgium. BIC code: KREDBEBB. IBAN code: BE 314487 5031 0155.This amount cannot be reimbursed and covers our hotel and restaurant reservation costs in case of cancellations. The final invoice will be sent before 15 March 2013 (amount to be deposited into the abovementioned bank account)
  • If we have not received your payment within 8 days, we reserve the right to cancel your reservation
  • Please limit the number of accompanying teachers/directors to two people. In case you have more accompanying adults, they will be charged the full accommodation and meal cost, which is 300 euro per person. Extra students (above the number of 15) will also be charged 300 euro per person.
