Introductions / Committee members present / Celebration: Present were Mary Bell, Kim Compton, Debbie DeLeon, Bonnie Jones, Sandi Whitaker, Jeane Williams, Kathi O'Bryant and Rhonda Zunker. Champagne and cupcakes were served in celebration of a job well done, and to mark the anniversary for Jim and Bonnie, and the birthday of Jeane.
A.VENDOR SURVEYS: A summary and review of the 32 returned surveys showed an overall satisfaction among the participants. There were negatives about the date being during Fiesta and the day of the Prom, which affected the attendance and therefore the sales and traffic.
Many said that they do better at the October event. Otherwise, the vendors were pleased with the efficiency and courtesy from the volunteers and the Chamber. Most of the vendors replied that they will return in the Fall.
B. COMMITTEE EVALUATIONS:
Facility:
Booth Grid: Add alleys. Increase booth size to 12 x 12. Reserve 3 spaces for last minute changes or additions. Create new grid design to save toner. *Re-number.
Setup: Went smoothly.
Toilets: Good response – clean and well-kept; liked the hand-washing stations.
Take down/Cleanup: Good.
Shuttles: Great job by VIP's. Many thanks for the 2 Gators from Mustang.
Vendor Administration:
Applications: Add requirement for weights of 40 lbs. per stake. Send booth grid and give option to vendor for desired placement (Range: Row A, Row B etc.) Add to Policies and Guidelines that no vehicles are allowed in the booth area from 9:30 am to 4:30 pm.
Vendor Infractions: Chamber observed 5-6 who were packing up early. A letter will be sent to each as Notice, and if this occurs again, they will be removed from our vendor list.
Database: Good.
Coordination / Communication: Good.
Publicity:
Poster/Fliers: Good.
Ads: Research advertising in Herald-Zeitung, Welcome Home, FOL and other
area Neighborhood News publications (Blanco, Boerne). Ad in Estate Sales section of Express-News. Suggest that a coupon be put on fliers, to be redeemed at the Chamber Booth for one free raffle ticket.
Money Mailer / Val Pak: Include coupon on those fliers as well – get sponsors.
Signs / Banners: Research plausibility of over the road banner (s) for display over
Marshall Rd. and US 281. Publicity is our main area for improvement.
Activities:
Booth Check-in: Suggested that vendors be given a handout with grid and locations
for restroom and food booths. Placing a card in the windshield with booth # might
be helpful in tracking vendor parking infractions.
Opening Ceremony: Went very well.
Door Prizes: Will begin to collect basket items and get sponsors for next Fall.
Music/Announcements: Good.
Entertainment: Good. Notify area schools and dance companies of Fall date early
so their music and arts students can plan to participate.
Food Court: Purchase table cloth clips; tape is not sufficient.
Volunteers: Many good comments on their friendliness and courtesy!
