Sheridan Hill PTO Meeting
Tuesday June 9, 2015

Call to Order: The meeting was called to order at 7:10 pm and attending members were introduced. Minutes were reviewed and approved by Rachelle Powers and seconded by Kim Reger.
President's Report: Vote for 2015-2016 executive committee
-Jenny Collins was approved as President.
-Sara Galluch was approved as co-Vice President.
-Robin Hendler was approved as Recording Secretary.
-Playground Report: Katie Wallrich gave presentation on current playground condition. The original play set was built in 1991. Just to replace slide was estimated at $15,000. Two slides are actually broken and must be replaced. Company reported it is not possible to simply replace 2 slides. Representative from Playground company came out and assess the situation. Whole unit must be replaced. Proposed preliminary new playground plans were shown. Playground surface is already up to code so that saves a large expense.
Phase 1 includes main piece with small slide. Would like to do over summer. No "Monkey Bars" will be included.
Tear down taken care of by school district. 3 phases will cost $68,846. $25,000 for installation. Total $86,346.
PTO reserves=$20,000
Discussed asking all Sheridan Hill families to make a substantial donation. If 300 families donated about $100, that would leave $36,346 to fundraise.
Auction remains a lucrative fundraiser which will help make up difference. Also discussed obtaining grants.
For district approval, presidents have to go to BOE meeting for approval. The board has to approve in order to move forward. Probably wouldn't be able to start until Fall. 1st phase of installation should only take a couple of days.
PTO is open to suggestions and input.
From now on, money will be set aside in budget to save for future playground enhancements.
Treasury Report: See attached report
Cash balance reads as $50,000. End of year is when payouts go out for field trip bussing for the year and other payouts. Extra auction money could be given to playground fund instead of Teacher's "Wish List". Need to discuss wish list funds with teachers and see if it is still necessary.
Classroom Funds and Field Trip monies have been/will be used. (see attached)
Artist in Residence: $1250 given each year to Mrs. Zadvorney to bring in guest artist. Last year Mrs. Boyar also received money for guest musician. This year Art has gone over budget-asking for additional $366. Music also asking for extra money this year as well. Next year they will not be able to go over budget.
Next year Musician in Residence will be shared with other elementary schools which will help bring down cost. Extra funds voted on and approved for the artists. Erin Wallace has expressed interest in taking over treasurer position within the next 2 years. She will work with Mary in 2015-2016.
Corresponding Secretary:
purchased a gift for Rachelle Powers, a card for bus driver with ill wife. many thank you notes received for staff appreciation.
VPs and Committees:
-School supplies- sold 185 kits, 26 were kindergarten. Sale ends 6/12.
Added some extra things this year which have generated some sales. PTO makes 10% on all sales.
-Penguin Patch will use Ray Gay to supplement what items we have already purchased. Cap at $5-6 for items.
-5th Grade activities all ready to go. T-shirts will be ready to hand out on last day of school.
- Cafeteria staff member has a daughter very ill in Children's Hospital. Fundraiser will be held on July 26 from 2-6pm at the Angry Buffalo on Wherle in Williamsville.
-Chairs still needed for Fall fest food/beverage and volunteer chair. Also in need of co-chairs for Book Fair. Kim Reger volunteered.
Chair for Signup Genius needed as well. Erin Wallace volunteered.

Thank you to all volunteers for 5th grade activities- 5th grade picnic on Monday, June 22.
Last day of school is Tuesday June 23 and will be a full day.
