Gate Keeper Duties


The gatekeeper’s main job is to create a calendar of workers to collect the gate fees and clean the gym at all home games. The co-chair’s job is to assist the gatekeeper during Friday home games. Since the gate fees pay the referees at the home games, it is a very important job.

After registration create the schedule:

·  The gatekeeper assigns two families (one parent per family) to work each home game. Each family works only one home game no matter how many CHSA players they have.

·  For each of the home games, you assign a parent from the team following or prior to the team playing. Here is an example of a Friday assignment. If....

GJV team plays @ 4:45 then assign 2 BJV families

BJV team plays @ 5:45 then assign 2 GJV families

GV team plays @ 6:45 then assign 2 BV families

BV team plays @ 7:00 then assign 2 GV families

Plus a San Jac Clean-up Crew of 2 families from BV or GV

·  Starting with the A’s of each team roster, assign 2 families to each home game from the appropriate team. If you run out of families of some teams and end up with extra families of other teams, then just use whatever families you have left to fill in the rest of the home games.

·  This is where it gets tricky. When assigned families’ children are not playing a game before or after the game assigned, you will have to cross check with the CHSA calendar to see if their child is playing away. Do your best to make sure this does not happen, but due to schedule changes it may happen. When it does, then parents will work the gate or find a replacement.

·  Send the completed schedule to the website managers to post. Then write a note to all parents listing the completed schedule and their responsibilities and post it on the forum.

Family responsibilities:

·  The posted online schedule allows the families to manage their gate responsibility by being there or finding a replacement. Please inform the gatekeeper of any changes. Proactive parents find that the best replacement is often from their child’s team, since they have the same schedule.

Weekly responsibilities:

·  Starting on the Sunday before a home game and everyday up to game time, you must check the CHSA calendar for schedule changes and make gate changes accordingly.

·  Parents who are going to be absent should let you know who their replacement is. In real emergencies, because life happens, the gatekeeper can either find the replacement or work the empty slot for the missing family.

·  This year the gatekeeper will be added to the BB scheduler’s email list to receive schedule changes, so you can check for those that effect the home games and cancel gate assignments when necessary.

·  The gatekeeper sends out a weekly reminder on the forum to the families assigned for the upcoming games. The letter will remind them of what is required of them and ask for confirmation within 24 hours.

·  By Thursday, you will make phone calls to the families that have not confirmed or take their place.

Home Game Day responsibilities:

·  On Home Game Night, the first gate volunteers will meet the treasurer at San Jacinto College South at 4:30 (for a 4:45pm game) to receive the money box and set up the gate. This includes putting up 4 CHSA signs: Prices at the table, San Jac gym use rules on the first door and Class in session on the back door.

·  If you not working the gate, you will help monitor the gym. This includes keeping kids off the blue mats and cages, and reminding people that no food or drink, except water, is allowed in the gym.

·  The gate closes after half time in the last game. Then the gatekeeper returns the money box to the treasurer.

·  After the last game, the clean-up crew cleans trash out of the bleachers and removes any debris on bathroom floors.
