Northern York Lacrosse Club– March12, 2014

Call to Order/Review of Old Business

Reports:

President-Angie Fulfer

Fundraising (my part that Lynn has asked me to help with)

  • Uniforms are in, sorted, and ready to be disbursed. Waiting on Boy’s Jerseys.
  • I handed out the girls 5/6 & 7/8
  • Will hand out the rest over the next few days, hoping to have jerseys
  • I will hand out the Chicken BBQ tickets as well over the next few days after they are picked up and logged.
  • I will have socks for sale and magnets for sale at certain times, I will specify when as soon as I figure that out.
  • I set a picture day, 4/14 @ 5:45 at Chestnut Ridge. They are providing us with 10% of the sales after the orders are all in.
  • Porta Potty for SME, $85 per month, 2 month minimum – motion by Lynn Sanders and seconded by Sean Hannon.

Sponsorships

  • Proposed business donation letter ok’d via email vote. Will mail out the letters by next week.
  • I’M GOING TO JUMP AROUND THIS WEEK AND DISCUSS SOME OF THE NEW BUSINESS WHEN WE GET TO THAT SUBJECT, SO THAT WHEN ALL NEW BUSINESS IS VOTED ON AND EVERYONE IS HEARD, THE COACHING ISSUES CAN BE HANDLED AFTER THE MEETING IS ADJOURNED.
  • Jennifer will contact her brother in regards to how many logos would be placed on the banner. What is the turn around time for them to be made and picked up?

Vice President-Kyle McGill

  • Concussion testing – Kyle has a list of all the kids that have officially done their ImPACT concussion testing. Confirmation letters should be turned into coaches if available.
  • Angie will send an email message to parents reminding them to complete the concussion baseline testing. Email responses should go to Kyle.
  • Coaches clinic for First Aid, Concussion, and AED training. (1 hour and 30 mins.)
  • Dates available March 17th or 19th @7:00 pm. or any day after April 7th after 6:30 pm.
  • Confirm the date of March 19th @ 7:00 pm. Scott will check on the township building to hold the building there.
  • If team mom’s would like to attend they can, but it is not mandatory.

Treasurer-Steve Hammel

*A lot of expenses coming up.

*Checks will be given to team mom’s to pay the ref’s for home games.

*Do a budget next year to determine things that are preapproved and other things that need to be voted on by the board.

  • US LAX registration is all done except for new kids that were late registrations.
  • Sent email to remind parents that birth certificates are required to play.
  • 2 sets of AED pads were ordered . They are adult pads that convert 2 child with a key (part of our AED)
  • US Lacrosse First Stick Program – filling out grant information. Coaches can submit the grant.

Fundraising-Lynn Sanders

  • Lynn will go over her proposed fundraising plan.
  • 6 fundraisers are already up and going.
  • We made $1139.26 for sportwear sales.
  • Once all socks are sold we will have made $404.00 from sock sales. Socks are $10 a pair.
  • Chicken BBQ – April 6th, pick up from 12 – 4:00. Pick up at Chestnut Ridge Field. Permission from the township was granted and DRS printing is printing the tickets at cost and should be ready by this Friday.
  • Place BBQ on the stones next to the shed.
  • Each family will get 5 tickets. They are required to sell 4 tickets per family.
  • Using Time to Sign Up for help. Jennifer will take care of money and tickets returned.
  • Dinners will cost $8 and profit is $3.80 per meal.
  • Tables – Jen, Gretchen, Angie, Lynn, and Steve.
  • Chairs – Steve
  • Concessions – Drinks and baked goods next to BBQ so there are 2 lines.
  • Coolers – Strouse, Gruber, Lightner
  • Decide on how many extra chicken will be purchased through email at a later date.
  • Concessions – Carlisle Lowe’s donated 1 table and Sheetz donated 1200 hot dogs.
  • Use J.C.’s tent for concessions. (another tent in the shed for the stand as well)
  • Grill – cook hot dogs and hot sausage. $150.00 for Coleman grill. Not big enough?
  • 6 days worth of games – Borrow gas grills.
  • Troy Swartz is letting up borrow his generator. (7500 watts) Sean Lightner has a generator as well.
  • Coolers for in the concession stands. Buy tubs with the rope handles on them. ($5 a pop)
  • Storage – where will everything go?
  • Water donations – Rt. 15 beverage – Brad will check.
  • Sean is in charge of the shed request.
  • Trash – dumpster at the township building. Purchase of cardboard trash bins.
  • Hoss’s Night – Saturday, May 10th 11:00 am – 10 pm. Will send out email electronically.
  • Individual pictures – Colleen and Company.
  • Time to Sign up for 2 shifts (90 mins. each) at concession stand. Team mom’s will get the emails about all of this.
  • Sean has extension cords to be used with the generator.
  • Need to specify if Lynn has requirements as to what she can spend for concessions without approval so she knows and everyone is comfortable with her purchases. $______must be approved by at least President, VP, and Treasurer if not the entire board. For large purchases any spending will need to through Kyle and Steve.
  • Allot $150.00 for start up costs of the concession stand. Motion made by Kyle McGill and seconded by Brad Hake.

Field Maintenance-Brad Hake

*Email to coaches and parents for a lining the field day.

*Steve Hammel is going to make sure the Chestnut Ridge fields are lined for games.

*J.C. talked to Brandon at the township to get assistance with the cost of repairs. Help with the cost of the mowing. Township would provide free screened topsoil.

*Repairs on the fields will not be done until the end of the season due to the weather. Fill in “gopher holes” and roll the fields. Have topsoil delivered on “Lining the Field Day”.

Safety and Equipment-J.C. Coble

*J.C. will try and get the goals out to strip them and repaint goals. Nets will need repaired and coaches will help with that. Goals should be out (hopefully) by Sunday.

*Plenty of paint

*First Aid kits are ready to go. Missing maybe 1 kit.

*Orange paint will need to be purchased for painting of the goals. Regulation states they must be painted orange.

Director of Girls Lacrosse-Sean Hannon

  • Motion made by Lynn to approve refund amount for our four girls on the gr. 2-4 team. Motion approved by Kyle.

Refunds for 4 families of 2, 3, 4th grade girls, Proposed amount is $60

$175 fee (some paid an early registration of $165)

-$45 (portion of uniform that the registration fee covered)(Club covered $30 of it out of pocket)

$16.50 for the team tshirt

Our little girls aren’t considered Northern, and they do a good bit of traveling. Proposed refund amount is $60.

Director of Boys Lacrosse-Scott Seigel

  • Let coaches know about Banner articles – submit 1 article to the banner with all the games scores.
  • Each coach can talk about their game up to 3 paragraphs.
  • Gretchen supplied rosters of all the teams. She will send an email of the rosters to Jen as well.
  • Be careful with moving kids up and down on teams. Next year (2015) – kids will need board approved to play up. Put it into the bylaws in the future.
  • Goalie issues with U15.
  • Find out what kids would like to play with both U13 teams. Rosters for teams will need to be decided by the end of the weekend.
  • The next meeting will be held on April 9th @ 7:30 pm. at Al’s Pizza in Dillsburg.

Additional notes based on discussions at meeting:

Sean Lightner was able to get donations for a new shed (10X12) at Chestnut Ridge for NYLC. There were many contributors to this awesome addition to our club. Thank you so much to parents, friends, families, and businesses that contributed to the purchasing of this shed. It will be delivered on March 31st. Keep a look out for this new addition.

Goalie uniforms were approved by the board via email to be purchased for Boys U15 and 5th - 6th grade girls based on what items were available in the shed or size appropriate for the players needing them.

J.C. reserved the meeting room at Carroll Township to do the refresher training for our First Aid/CPR/AED training on March 19, 2014 anytime after 4:00 p.m. He will pick up the key at 4:00 pm.
