JOB DESCRIPTION

Job Title : Office Services Assistant

Reporting to : Office Services Manager

Location : Liverpool Office & other locations as required

Job Purpose: Assist with all Office Services tasks.

Key Responsibilities
Office Services
  • To take full responsibility for all CMA-CGM and MacAndrews post including use of the franking machine, cost control and security for the franking, to ensure all parcels are sent out daily with the correct delivery instructions. This will include three daily inspections picking up post from the out post trays
  • Daily cleanliness Inspections of the office which must be logged and if areas are dirty must be tidied / cleaned
  • To assist in all office moves including the erection and dismantling of desks/cupboards etc
  • To keep spreadsheets noting phone/office supplies costs etc
  • To order and keep a log of all online stationery
  • To ensure all kitchens are fully stocked throughout the day and emptying dishwashers’ first thing in the morning
  • To monitor and keep a stock check of all print/fax cartridges/toners
  • To remove all recyclable waste to the Ground Floor waste area
  • To assist all Staff in any office related service
  • To assist with the sending and retrieving of all archive files
  • To assist the Office services Manager with all tasks related to Office Services
As this position is located within the IT / Office Services department there is also a possibility of carrying out IT Support work a few hours a week once the above tasks have been completed. This will give the candidate opportunity to learn new skills within an IT Support role such as Call Logging, Mobile phone support, IT support to clients, Printer maintenance.

Key Performance Standards

Office Services

  • Efficiency of Postage Department. Sorting of post 1st and 2nd class, special delivery, special courier etc. Maintain CMA and MacAndrews postage separately. Advise of any operational improvements that can be made
  • Daily cleanliness checks the logging of these checks and the action taken to remedy any problems

SKILLS & EXPERIENCE

  • Willingness to learn new IT skills
  • Must have a friendly and outgoing personality
  • Occasional overnight travel may be expected
  • Physical fitness required for manual handling

PRACTICAL & TECHNICAL KNOWLEDGE

  • Proficient With Microsoft Windows and Office (all versions)

QUALIFICATIONS

  • Educated to GCSE level or equivalent
