Car Pass & Information Pack

One car pass will be sent to you prior to the event with Information Pack. Car Passes will need to be visible from your windscreen including a mobile phone number to assist traffic marshals.

Car parking for stallholders

All cars must be removed from behind stalls by 8.30am.

Stall Set Up

The day prior to the festival (Sat 19thAugust) 1pm – 3pm signage and large equipment items only can be set-up. Arrival time on the day of the event will be from 6am – 8am. We ask all stalls be set up and ready and trading by the event start time of 9.30am. Appearance and stall presentation is important to us. We encourage you to decorate your stall in a manner that reflects your goods and attracts patrons. Stallholders must also keep their site and surrounding areas clean and tidy. TLC Festival is strictly a celebratory event. We are scrupulous in applying that rule.

Festival Stalls Pack-up & Departure Time

Stalls can start to pack-up from 4 pm – Vehicle access to site will be from 4.30pm (or as deemed safe by Site Management).

Guidelines for Inter-faith Sharing

These Guidelines are to ensure a harmonious and pleasant experience for all attendees and participants at the Festival.

1.Please confine your sharing within your booth

2.Please respect the rights of the listener to terminate or cut off the conversation at any point of time the listener decides

3.Please be mindful of your language so as not to give an impression that may sound authoritative and imposing. Always remain polite and humble.

4.Please do not compare religions or faiths during any time of your sharing or engagement.

5.Please do not discriminate against any faith or religion.

6.You may give out brochures, articles on your faith / religion. But please do not ask for their contact number. If the other party wishes to offer you their details please ask them to contact you after the Festival is over.

7.Please keep your sharing to the basics and fundamentals of your faith /religion. You must not be seen to be preaching or proselytising.

8.Please do not engage in any controversial subject such as the Gay issue, Abortion, Unwed mothers, etc

9.Please make no mention of any political affiliation.

Not allowed on site

  • No political flags or banners are allowed to be displayed on stalls or at the festival.
  • No materials proclaiming political information are allowed. That includes non-party political single-issue campaign groups.
  • No material depicting violence, ongoing conflict or political unrest is to be distributed.
  • Please note this is a drug and alcohol free event and there is a no glass policy at TLC Festival.

Privacy statement

TIMS is collecting your personal information for the purpose of registering you, or your organisation as an Exhibitor at the Toowoomba Languages and Cultures Festival 2017.Your information will not be given to any other person or agency unless you have given us permission or we are required by law.

Terms and Conditions of Participation in the TLC Festival for Stallholders

  • Cancellation. No party is liable for any failure to perform or delay in performing its obligations under this Agreement if that failure or delay is due to anything beyond the Festival Organisers’ reasonable control. The Festival Organisers reserve the right, if it considers it to be expedient or desirable to do so, to cancel or to postpone the operation of this agreement by notice in writing in the event of any occurrence or happening which in the opinion of the Festival Organisers justifies it in so doing. In the event of unavoidable circumstances where Festival is cancelled, Festival organizer is not liable to refund any fees paid to the organiser.
  • Refund Policy.There will be no refund for Stallholder cancellations after the 15th of July. Any stallholder cancellation prior to this date will incur a $75 administration fee.
    No refunds will be made for non-attendance and any outstanding amounts remain applicable.
  • Conflict of Interest. Stallholders must not promote items or services that are considered not reasonable by the Festival Organisers. Stallholders must supply details of their organisation, group or service on the Stallholder Booking form. Festival organiser reserve the right to accept or decline Stallholders.
  • Furniture and Fittings. The Stallholder is responsible for any additional furniture and fitting requirements other than tables, chairs and/or partitions agreed to by the Festival Organisers based on the response to the Stallholder’s Application form.
  • General. Stallholders consent to having their contact details disclosed to all parties necessary in the conduct of the Event.
  • Health and Safety. Stallholders must comply with all relevant Health and Safety regulations. Stallholders agree to immediately rectify any Health and Safety breaches identified by the Festival Organisers. The Festival Organisers reserve the right to close the Stallholder’s booth if a breach of Health and Safety is not immediately rectified.
  • Power and Lighting. All electrical equipment (including extension leads) must display a current appliance test tag. Electrical equipment that does not display a current appliance test tag will be deemed to be non-compliant and its use will not be permitted. Stallholders must not use more than the power and socket that they have paid for. Festival organizer reserves the right to fine $50 for misuse of socket. If required, Stallholders are to provide their own extension leads.
  • Security and Risk. Stallholders are to acknowledge that while all care is taken, the Festival Organisers will not take any responsibility for any loss or damage to any Stallholder’s stock, equipment, reputation or goodwill that may result for whatever reason either before, during or after this event. The Stallholder’s property is the responsibility of the Stallholder at all times.
  • Car parking for stallholders. All vehicles must be removed from behind stalls by 8.30am.

We encourage you to decorate your stall in a manner that reflects your goods and attracts patrons. Stallholders must also keep their site and surrounding areas clean and tidy.
  • Specific Exhibition Booth Information. The Festival Organisers will determine the final layout of the exhibition and Stallholder locations. The Stallholder must not extend items outside the booth space unless prior agreement has been obtained from the Festival Organisers. The Stallholder shall not display materials that may be considered offensive by the Festival Organisers. Exhibition booths must be left in a neat and tidy condition at all times. Stallholders are required to follow the requirements in the Health, Safety and Style Guide found in the Stallholder Information Pack. Noise from individual booths is to be minimized to respect other Stallholders.
  • Stallholders installing their own marquees are responsible for ensuring that their marquees/tents and structures are properly secured on site and can adequately withstand rain, wind and storm conditions.

I/we wish to apply for a stall site and agree to abide by the Terms and Conditions and information in this application. I/we agree to have stall sites operational by Festival start time.

I/we declare that I/we have read and understand all points made in this application, and have discussed them with all other people involved in this application.

I/we understand that the responsibility for our employees, contractors, agents and invitees falls on us and I/we are responsible for ensuring their safety and their compliance with the terms and conditions of participation in this Festival.

I/we understand that I/we are responsible for our helpers, or any clients, personal accidents, injuries or ourselves and indemnify the TLC Festival Organisers for any personal accidents or injury.

I/we further agree that we will be responsible for ensuring the safety of the public visiting the stall and will ensure the stall site is left clean and tidy.

I/we understand that I am responsible for any injuries caused from our food/product or personal injuries to any person associated with us and will not hold TLC Festival organizers responsible.

I/we further agree that we will be responsible for ensuring the safety of the public visiting the stall and will ensure the stall site is left clean and tidy. [Not doing so will attract a cleaning cost, which will then be passed on to you.]

I/we note that if accepted as a stallholder, the stall fee payment will be paid no later than 30 June. Any fees not received by the due date will incur the full fee. Any fees not received by 10 July may result in cancellation of stall application.

I/we hereby permit Toowoomba Languages and Cultures Festival organisers to take photographs during the Festival and reproduce these images in any form, in whole or in part, and distribute the works by any medium including the Internet or other multimedia for future promotional purposes.
