OUTLINE ROLE AND RESPONSIBILITIES

1. SUMMARY

Job Title / Conference Centre Assistant (Weekend and Evening)
Job Grade / Support
Reporting to / Operations Manager
Responsibilities / Ensure a smooth, efficient service for customers of St Thomas Centre.
Ensure the building is secure at all times.
Provide administrative support for GMCVO activities.
Posts line managed / none
Assets managed / Responsible for opening and closing St Thomas Centre as required
Projects / contracts managed / none
Relationships managed / none
Budgets managed / none
Income generation / Expected to be alert to opportunities for paid work for own post and/or other GMCVO staff.

2. ACTIVITIES

Main area of work / The main area is hiring out meeting room and conferencing facilities.
Main aims / 1 / Room preparation; ensure rooms are correctly set out, clean, tidy and looking their best. At the end of the bookings, clear, tidy the room, put equipment away and where necessary set up for the next booking.
2 / Equipment; set up any equipment required, and check that it properly functions before room users arrive. Show room users how to use the equipment, and support them appropriately.
3 / Refreshments and buffets; set up drinks and buffets when needed.
Clear away all debris and use dishwasher to clean used pots.
4 / Opening and closing the building; ensure the building is safe and ready for customers on arrival. Ensure that the closing procedures are followed and the building is secured on leaving. Ensure appropriate behaviour whilst in the building and its grounds.
5 / Customer support and management; ensure all building users are supported ensuring their event is as successful as possible.
6 / To provide administrative support to GMCVO and its projects.
Other requirements / GMCVO staff are required to undertake work outside their current role description as necessary to meet organisational needs.


3. SKILLS, KNOWLEDGE AND ABILITIES

Skills required /   Able to carry out tasks to good standard and on time
  Able to prioritise own workload
  Adaptable
  Able to use own initiative, think under pressure and react to situations in a calm and professional manner
Knowledge / training needed /   People skills
  Literate, numerate and ICT literate
  Food hygiene certificate (not essential)
  First aid certificate (not essential)
Other job related conditions / Able to lift furniture


4. SUMMARY CONDITIONS OF SERVICE

Salary: / NJC equivalent points 17
£17,372 per annum (pro rata)
Plus 7% pension contribution and Death in Service insurance
Hours of Work: / The contractual hours of work are 10 per week, mainly evenings and weekends but will include ½ day per week during the week.
This may increase with the needs of the business.
The post is eligible for flexible working in accordance with current GMCVO policies and with the approval of the line manager. However the need to provide adequate cover during working hours takes priority.
You may need to undertake occasional duties outside normal working hours for which time off in lieu will be given.
Holidays: / 22 days per year plus statutory Bank holidays, rising annually to maximum of 25 days (pro rata)
Pension: / The post is eligible for the GMCVO non-contributory pension scheme. In addition employees may choose to make extra voluntary contributions.
