COORDINATOR, SPORTS & COMPETITION

Reports To: Vice President, Sports & Competition
SUMMARY: Responsible for supporting all aspects of year-round sports specific training and competition including housing for Winter, Fall and Holiday events.Responsible for all insurance needs for local program and events.Oversee the Avenue of Resources at Summer Games. Responsible for the sports of Unified Curling, Cycling, Golf and Gymnastics. Provide administrativesupport to further facilitate a quality program consistent with the mission, goals, and philosophy of Special Olympics. This is a full-time, non-exempt position. Some evening and weekend work is required.
PRIMARY DUTIES
-Coordinates all aspects of thecurling,cycling, golf and gymnastics events including sponsor relations, venue logistics, committee selection and meetings, equipment needs, GMS data registration, divisioning and competition schedules.
-Supervise event committee volunteers at the above competitions
-Coordinates all aspects of housing registration for Winter, Fall and Holiday Games including the dinner & dances at hotels. Work closely with hotel staff to provide accommodations
-Assists with GMS data registration of all Games
-Provide administrative support to VP & Sports Department staff
-Secure certificates of insurance for all SOCT events as requested (seasonal coaches meetings, training, competition, Penguin Plunges and other fundraisers)
-Collect and forward all First Report of Accident/Incident Reports to American Specialty Insurance Company and maintain accurate records of communication
-Collect and forward all Contracts and/or Agreements to American Specialty Insurance Company to review and approval for CFO to sign
-Run queries and reports from database for mailings, notices, thank you letters, etc.
-Prepare and update annual event calendar for Sports Department
-plan Avenue of Resources for Summer Games
-Is aware of and complies with SOCT’s policies, procedures and non-discrimination policy
-Proficient with Microsoft Office 2013, Word, Excel, Power Point, Publisher and Outlook
-Must have a valid Connecticut Driver’s License
SECONDARY DUTIES
-Responsible for service (maintenance and repairs) and supplies for upstairs copier
-Drop off mail from SOCT Headquarters at post office as per weekly schedule

-Attend Sports Department meetings, SOCT staff meetings, and Games Committee meetings and Coaches meetings as needed
-Staff support at State Competitions and Divisioning Tournaments
-Prepare, label, and fill delegation bags with credentials, rosters, schedules, and pins, etc. by sport for each of the State Games and Divisioning Tournaments
-Maintain current listing of all Sports & Competition committees
-Create and distribute new staff credentials as needed
-Attend SOCT events including trainings such as GMS, Games Management Training, CPR, etc.
-Answer office telephones
-Serve as VSys support for Sports department
-Provide administrative and event support leading up to USA & World Games
-GMS support as needed
-Any other duties that may be assigned by your supervisor and/or the President
EDUCATION AND EXPERIENCE
-Bachelor’s degree or at least 3 years’ experience
-Experience with Blackbaud Raiser’s Edge
-Excellent communication skills, oral and written
-Good organizational skills and ability to meet deadlines
-Ability to handle multi-tasking
SUPERVISORY RESPONSIBILITIES
This position has no direct reports
