Title: MAINTAINING CONTRACT DIARIES AND RECORDING OF

SITE VARIATIONS

Key Requirements:

1. Daily Contract Diaries.

2. Monthly Contract Diaries.

Objective:

1. To accurately record overtime and other variations to basic pay both on site and off site.

2. To ensure that all variations are monitored and authorised.

Procedure:

DAILY CONTRACT DIARIES

1. Each site supervisor must maintain a daily record of all staff working on site in the relevant site contract diary.

2. The site contract diary must clearly show the name of each employee in block capitals, together with the time that the employee arrived on site and left site. Normal hours must be input.

3. Overtime worked on site must be clearly entered and defined on the Contract Diary. All overtime must be authorised and evidenced by the Site Supervisor with his signature against the daily entries in the contract diary.

4. Travel hours must be entered and clearly defined.

5. All other entries, if applicable, require a tick.

MONTHLY TIMESHEET DIARIES

1. Each site supervisor must maintain a daily record of all staff working on site by entry of the relevant information upon every employees monthly timesheet.

2. The monthly timesheet must clearly define the normal hours worked.

3. All overtime worked must be entered, clearly defined, authorised and evidenced by the Site Supervisor.

4. Travel hours must be clearly defined

5. Any other entries, if applicable, only require a tick.

Key Points:

1. All entries in Contract Diaries should clearly distinguish normal hours from overtime hours.

2. All entries on Contract Diaries should be authorised by the relevant supervisor.

3. Employees brought in from other sites must be clearly distinguished from on-site employees in the Contract Diaries.
