1. Chair’s OpeningRemarks, Approval of
Agenda and
2003-12-18 Record / The Chair called the meeting to order at 3:00 p.m.
It was moved by Debra McKay and seconded, “that the Agenda of 2004-03-18 be approved.”
It was moved by C.Goodrow and seconded “that
the Record of 2004-02-19 be approved.”
Amendment: C.Collins was present to address the issue of Fundraising
2. Presiden’s Update
President’s Update Cont’d / R.Turner reported on the following:
Fund Ask
· The budget from the government will be presented in the next few weeks
· Met with the Deputy Minister Mar. 17th re college funding
· ACCATO will have an ad in the Globe & Mail indicating that colleges are a good place to invest which will benefit the Ontario economy
· The overall college retention rate is 57%, Sheridan is at 70%
Budget
· 6 colleges have not balanced their budget· We have a surplus for the 5th year in a row and
there will be an explanation later on how we
balanced 2004/05
· C.Goodrow said with all the information you have does there seem to be a greater sense of optimism that might impact the government in any way
· R.Turner replied that his lack of pessimism is rising slowly and although education was top of the agenda yesterday we’re up against other demands such as health; hopefully there will be money next year but it doesn’t look good for this year
· G.MacMillan commented that radio ads from Community Colleges and Universities pushing them from an investment point of view, were very good
· G.McMillan wondered if Sheridan was going to work with Burlington to develop a new campus there
· R.Turner indicated that his first priority, after Davis expansion, was to develop a campus in Mississauga and that it was possible to serve Burlington with a different type of institution
· He will be holding forums next week at all campuses and will include discussion on a campus in Mississauga
· At the present time Milton is happy with expanding Continuing Education into their area
Fundraising
· see handout· C.Collins mentioned that fundraising is a community effort and ongoing
· Although there may be donations of significant size there has been an increase in smaller donations with a lot of support coming from Sheridan people3. Vice President Academic Update

V.P. Academic Update Cont’d / Enrolment Planning
· M.Callahan went over how we try to meet our enrolment figures
· If some programs do not meet their target it is possible to create another class in an over subscribed program
· The whole process of applications is tracked very carefully from the deadline date of Feb. 1st;
whether the applicant pool is there to achieve
the program target, what adjustments are needed
to reach the target, checking with the program to
see if they can handle another class, (e.g.
teachers, space, ) etc.
· C.Goodrow said regarding space and resources there seems to be some misunderstanding around timelines to make adjustments
· M.Callahan indicated that we need to maximize money but maintain quality
· B.Smith indicated that this is a very emotional issue, if the number of students increases then the quality will suffer and they need to figure out how to deal with it
· M.Callahan stated that she is always available to explain the issues around enrolment
· D.McKay wondered with the colleges opening so many programs why does the ministry allow this to happen? M.Callahan stated that the ministry’s role is to approve programs submitted by the institution; the college decides what programs to offer
· G.MacMillan felt that co-ordinators should have a good feel for the current market place not just numbers
· M.Callahan said that the employment rate is not dropping and 80+% of the students get jobs
· G.MacMillan stated that some of the students are not getting jobs in their program of study
· M.Callahan remarked that the tracking that had been done seemed to indicate that the program and job were fairly heavily related
· J.Salisbury inquired whether with the double cohort and Universities taking more students, how would we be affected this year
· M.Callahan pointed out that a study was done before 2003, and as a result of the double cohort Universities were given more money because applications were much higher
· There was no great noticeable increase of applications at the college level therefore the double cohort didn’t really affect Sheridan
PeopleSoft Update – Sophia Holness
· All Academic Service and Continuing Education
staff are operational on the system with
payments being accepted for ConEd courses and
spring term programs
· Admissions have sent out offer letters for the
Fall term with applicant self-service being
available soon
· There is ongoing training of staff within the Academic schools with access to the system being provided once training is complete
· PeopleSoft has four tiers of security and the bugs are still being worked out
· Enrolment and ConEd will target the Business program to do core classes by the web
· Although there may be some minor data issues, there should be nothing to interfere with the upcoming grade input
· Self-service for ConEd and May intake is still being tested and requires a few customizations
· J.Travis mentioned that administration, putting on courses and fees, got frustrated because they found that they had no authorization to use certain parts; who do they tell when they are suppose to have access
· S.Holness said to phone/e-mail the helpdesk

· J.Bowman said there is no project plan at the moment, the committee is doing a convergence exercise· This exercise involves information gathering, workshops, best practices within varies instutions, what are the educational requirements, regulations out there, and support from senior management
· J.Travis wondered if this was just for students or everyone with J.Bowman’s response being everyone
Mold in Annex – Davis Update
· J.Crechiolo said that this was looked at last fall because of concerns from faculty· They did a visual inspection and found moisture and also had air samples tested, there was concern that the mold had gotten into the HVAC system which could be costly
· In Dec. 2003 a thorough job of removing all mold from the Annex was done
· The only area that is not free of mold is the cleaner/electrical closet but it has been sealed from the rest of the building and only those trained with respirators and authorized may enter
· Health & Safety will keep an eye on the Annex
· R.Radovan said that you can hear water underground and that this is what has lifted the building as it is made from 5 separate pieces
· J.Crechiolo remarked that they had done the best that they could; if anyone wants the report please ask her
· B.Smith wanted to know if fire inspection was looking at the electrical part
· J.Crechiolo said that the fire department had done a complete inspection of the Annex and had found several problems with extension cords, power bars, etc.; Sheridan is working with the fire department and hydro to remedy this situation
Smoking Policy
· J.Salisbury mentioned that the smoking issue continues; and after a brief discussion ensued· J.Salisbury suspects that security won’t issue the $50 fine; students need to be told to move and also be educated on where to smoke
· C.Goodrow suggested working with S.Gilbert and give her direct feedback regarding smoking issues
· J.Salisbury had mentioned some time ago that a message, about the smoking policy, be put on the computers that would show each time someone logged on but that hasn’t happened; he continued to say that the system just wasn’t working
· B.Smith suggested rewarding the students following the no smoking policy with something if they are standing at the proper place, do it as a week long project
· G.MacMillan felt that there had been a vast improvement since the smoking issue was first brought up
· Perhaps advertising funds should be sought out from sources other than the college ie: Solicitor General etc.
Security
· S.Platt wondered why a phone call to security Davis was automatically picked up by security at Trafalgar· J.Crechiolo said that it had always worked that way because there were fewer security at Davis and they weren’t always able to be at their desk whereas at Trafalgar someone is always there
· J.Travis suggested S.Gilbert send a letter out to explain the process
· S.Platt says she has trouble getting in the gate at
Davis so pressed the button which
automatically goes to Trafalgar and they can’t
open the Davis gate
Identification
· S.Platt suggested that students doing their co-op by working at Sheridan should wear some identification· J.Travis said that she would mention this to IT
· S.Platt remarked that there was a problem that the co-op student couldn’t fix but that a retired/part time staff knew immediately what/where the problem was
· B.Smith said that this was an organizational issue, it’s easy to get stressed and forget to write things down for others but the issue is worsened because there are a new group of co-op students every semester
