Chapter 10: Banking Procedures

Westpac is regarding the Doorknock Deposit in metropolitan areas as a bulk-cash-deposit.

Opening times

* Your Area Director will confirm these arrangements for your Zone and be at your designated Branch during the arranged hours.

1)  Contact on the Day:
Please provide your contact number to your Area Director in case of an emergency.
2)  Security:
A minimum of 2 people from The Salvation Army must deposit donations at the Bank. At least 1 of these people must be in Salvation Army uniform.
3)  Depositing of Funds:
a)  Use one deposit slip and Summary Sheet (Bulk Coin or Notes/ Cheques Form) per Business Express Deposit (BED) bag [plastic Westpac Deposit bag]
b)  Write the Zone Name & Bank Auxiliary Serial No. on EVERY BED & Coin Safe Bag. [See Figure #1] USE BALL-POINT PEN ONLY

This information is on your Zone Deposit Slip
c)  Write the BED bag serial number on the deposit slip `Paid-in-by’ box. Use only the RSA encoded deposit slips for your Zone
d)  Write the BED bag serial number on the on the Summary Sheet.
Provide 2 copies of the Summary Sheet:
i)  One in the BED bag with the deposit slip
ii)  One held in Zone records
e)  Place deposit slip & Summary Sheet inside BED Bag as Shown


Deposits should be brought to the branches in the following way:

NOTES/ CHEQUES/ MONEY ORDERS
ALL NOTES should be placed in the plastic Business Express Deposit (BED) bag
All notes should be flat and in bundles of 100 notes, i.e.:
Please note: If less than 100 notes, they should be bundled in groups of 10 i.e.:
10 x 50 = $500.00
(Notes to be flat & held by a single elastic band)
$ 5 / $ 500
$ 10 / $ 1,000
$ 20 / $ 2.000
$ 50 / $ 5,000
$100 / $10,000
CHEQUES/ MONEY ORDERS should be placed in the BED bag as instructed.
Use the Summary Sheet (Form A) to prepare a list of cheques.
One BED bag, summary sheet (Form A) & deposit slip for notes/ cheques/ money orders. When the BED bag is full, commence another deposit.
ALL COIN:
All coins should be placed in the plastic Coin Safe bags – one denomination per bag.
(Please note: calico bags are no longer used due to a change in Westpac OH&S policy.)
Bulk Coin: Please ensure all denominations are bagged correctly (As shown on the Bag):
One SEPARATE, BED bag, Summary Sheet (Form B) & deposit slip for ALL bulk coin.
Write the BED Serial number on all Coin Safe Bags for that deposit.
Write the Coin Safe Bag Serial number on the Bulk Coin Summary Sheet (Form B) as shown.
Loose coin: (i.e. less than bulk amounts - e.g. $1732 x $2 coins) should be placed in separate Coin Safe Bags. Clearly mark on the bag that the amount is the total of the loose coin [see Figure #2].
Prepare a separate BED bag, Summary Sheet (Form B) & deposit slip for ALL loose coin.
N.b. 1c & 2c coins are to be held and taken to your local Westpac Branch on the next working day as a separate deposit.
Late Deposits:
Monies too late for banking on Doorknock Day should be banked as soon as possible on the Monday/Tuesday following the Doorknock weekend at your local Westpac Branch.
Credit Card Donations
DO NOT deposit credit card donations at the bank. Immediately after the Doorknock forward all credit card slips to your Division where they will be processed.
SRM Portal Zones (WHERE APPLICABLE)
Enter each deposit’s details in your SRM Doorknock Portal. This information is available from the total report produced by the Deposit Summary Spreadsheet.
Other ways in which Westpac supports the Red Shield Appeal
In Branch promotion:
From 4 May until 30 June, Westpac Branches and In-stores nationally will display Red Shield Appeal poster and postcards.
Over the counter donations:
Westpac Branches and In-Stores nationally will be accepting over- the-counter donations. This occurs all year round.
Television promotion:
Throughout the month of May, Westpac will air Community Service Announcements for The Salvation Army on Aurora the community channel. Westpac sponsors Aurora; the community channel which is available via Foxtel and Austar. Westpac has also funded advertising airtime for the Salvos on Channel 7 (Sydney and Melbourne) over the Doorknock weekend.
Employee volunteers
This year Westpac employees will be encouraged to provide their expertise in cash handling to volunteer at their local counting house.
